Job Details
Family Promise of Gwinnett seeks a dedicated Office Manager to oversee daily operations at our Day Center, ensuring a welcoming, well-maintained environment for guests, staff, and volunteers. This role coordinates property management for our buildings and grounds, manages donations, provides essential administrative support, and assists with volunteer coordination to support our mission of helping families in need.
Key Responsibilities:
Day Center Operations
• Manage maintenance for shelter, transitional housing, and Day Center facilities.
• Oversee and schedule volunteers, facilities committee members, and maintenance activities.
• Greet visitors and provide appropriate referrals to staff.
• Conduct regular and preventative maintenance for vehicles and buildings.
• Keep guest areas clean, organized, and stocked with necessary supplies.
Donation Management
• Organize and maintain the storage shed, ensuring inventory is accessible and stocked.
• Manage, sort, and inventory incoming donations.
• Coordinate volunteers for donation sorting and distribution.
Financial & Grant Support
• Assist the Bookkeeper in payment processing and maintaining financial records.
• Track and record donations in Bloomerang; manage thank-you notes and donor acknowledgments.
• Monitor and report on grant funding, coordinating with grant writers as needed.
Administrative Support
• Assist Executive Director in administrative needs.
• Oversee the information email and respond to calls.
• Maintain databases, guest folders, and agency mailing lists.
• Order supplies, manage bulk mailings, and ensure the Day Center and offices are clean and organized.
Volunteer Coordination
• Train and guide office volunteers, fostering a welcoming environment.
Requirements
• Strong interpersonal skills to connect with individuals of all backgrounds.
• Ability to maintain confidentiality and professionalism in a fast-paced environment.
• Passionate about Family Promise’s mission and dedicated to supporting families in need.
• Strong organizational and project management abilities.
• Possess a problem-solving mindset and a can-do-it attitude.

• Able to thrive in a fast-paced, dynamic environment, effectively managing multiple priorities and adjusting to changing circumstances with ease.
Qualifications:
Required: High School Diploma; 2+ years in office management or administrative support; proficiency in MS Office, Google applications, and donor/volunteer management platforms and strong organizational skills. Property management experience is a plus.
Preferred: Experience with Bloomerang and volunteer management.
Physical Requirements:
• Ability to work in various outdoor conditions.
• Capability to sit, stand, and walk for extended periods of time.
• Ability to lift and carry up to 40lbs as needed.

Part-Time Position - 20 hours a week.

Family Promise of Gwinnett County, Inc. brings existing local resources together to help homeless children and their families regain their housing and their independence, while maintaining their dignity. We mobilize congregations of faith, community volunteers, and social service agencies.Through intensive case management and counseling, we address the underlying causes of homelessness. Together we are ending homelessness – one family at a time.
We utilize three major components to achieve our goals…
1. Congregations. We utilize the Hospitality Network model to house our families in congregations throughout Gwinnett County. These churches provide shelter, meals, and a hospitable environment for our guests.
2. Day Center and Staff. Our Day Center serves as the administrative headquarters for our staff, including our Executive Director and Family Advocate. The guests use this as their home base while in the program. They have access to shower and laundry facilities, a mailing address, counseling services, budgeting classes, and case management.
3. Volunteers. Our program is reliant on a faithful volunteer network to care for guests at the church, assist our office staff at the Day Center, put on special events and help on our marketing & fundraising committees.

The ongoing program involves local faith communities hosting families for one week at a time in their facilities. Currently more than 40 congregations are involved in this Hospitality Program. We solicit host and support congregations, train their volunteers, and support each congregation’s volunteer coordinator.
We review applications from literally hundreds of families applying to be part of the Family Promise congregational program. Our Family Advocates assist the accepted families in developing a realistic plan of action to regain stability and establish a savings account. Qualified families are admitted for 30 days. Families who complete their goals and adhere to guest guidelines may extend their stay for another 30 days. The maximum stay is usually 90 days.
Our staff and volunteers do not have the expertise to serve families who are struggling with domestic violence, mental illness, or drug and alcohol abuse. We refer these individuals and families to other social service agencies throughout Gwinnett County and the Metro Atlanta area.
