We are a small, primarily remote team managing a membership of over 100 members globally.

We are seeking a dedicated professional with 5+ years of experience in office management, ideally in the non-profit sector, to help maintain the smooth running and operation of the organization.This is a 24-hours-per-week position with an expectation for availability during USA work hours. Candidates located inside the US are. This may be a remote position or hybrid at our Washington, DC office. The salary for this position is between $35,000 - $45,000. This position does not offer benefits.

Position Responsibilities

As an Office Administrator, you will collaborate with the Executive Management (Executive and Managing Directors) to implement and ensure the execution of organizational and financial policies, processes, and procedures across the organization and membership.

Accounting Functions

  • Support, organize, and implement the accounting functions under the supervision of the Managing Director (MD) and the organization’s external accounting firm, including:
  • Interpret, implement, and monitor the accounting and organizational policies and procedures.
  • Build out potential new operational and financial processes.
  • Maintain financial record keeping including recording payments, writing/preserving receipts, preparing and making bank deposits, coding expenses, etc.
  • Maintain a system for accounts receivable and payable, including invoicing, purchase orders, pay vouchers, check register, etc.
  • Monitor and collect accounts receivables. Report delinquent accounts to the MD and accounting firm.
  • Collaborate with the MD and accounting firm to track grant and organizational budgets.
  • Help prepare financial and statistical reports.

Administrative Functions

  • Help track and maintain records, complete filings, and serve as a liaison for issues related to regulatory compliance.
  • Provide logistical assistance (booking travel and accommodation) with scheduling and organizing external meetings and events including board meetings.

Position specific skills

  • The ideal candidate will have knowledge of and experience with:
  • Statutory compliance requirements for nonprofits operating in the U.S.
  • Accounting procedures and policies pertinent to nonprofits.
  • Accounting software, including Quickbooks and Bill.com
  • Online tools, including Microsoft Office, Airtable, and Google Workspace.
  • Administration skills, including managing travel bookings, tasks, schedules, and information.
  • Attention to detail.
  • Excellent time management and ability to work independently.
  • Excellent verbal communication skills and strong organizational skills.
