POSITION DESCRIPTION/SUMMARY
The Director of Finance and Human Resources (HR), reporting to the Executive Director / Chief Executive Officer (CEO), is primarily responsible for managing all financial and HR functions for MedShare International and providing strategic guidance to further develop as a financially sound organization by implementing the infrastructure and systems needed to support goals and objectives with an eye towards budget realities and future needs. As a member of the senior management team, the Director of Finance and Human Resources will be involved in a range of strategic planning and internal initiatives.
RESPONSIBILITIES
Financial Management
- Supervise and direct the Finance (Accounting) Associate activities.
- Ensure financial integrity and accountability by maintaining internal controls and oversee accounting transactions and ensure financial decisions adhere to defined financial guidelines.
- Generate monthly, quarterly, and yearly financial reports in compliance with Generally Accepted Accounting Principles (“GAAP”).
- Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements; collate financial reporting materials for all donor segments, and oversee all financial, project/program and grants accounting.
- Coordinate and lead the annual audit process, liaise with external auditors and the finance committee of the board of directors; assess any changes necessary.
- Oversee and lead annual budgeting and planning process in conjunction with the ED/CEO; administer and review all financial plans and budgets; monitor progress and changes; and keep senior leadership team abreast of the organization’s financial status.
- Manage organizational cash flow and forecasting.
- Implement a robust contracts management and financial management/ reporting system; ensure that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements.
- Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual.
- Oversee the organization's compliance and risk management practices.
- Effectively communicate and present critical financial matters to the board of directors.
Human Resources (HR) Management
- Serve as the point of contact (POC) and liaison between TriNet, a professional employer organization (PEO) outsource partner, and MedShare International.
- In collaboration with TriNet, manage all phases of the full Employee Lifecycle. Inclusive of day-to-day effective and efficient HR practices.
- Develop and implement HR strategies, policies and practices that align with the organization’s mission, values, and goals.
- Oversees the administration of human resource programs including, but not limited to, compensation, benefits, and leave; disciplinary matters; disputes and investigations; productivity, recognition, and morale; occupational health and safety; and training and development.
- Develop and implement performance and talent management processes and programs to ensure that employees are engaged, productive, and meeting the expectations of the organization.
- Monitors and ensures the organization's compliance with federal, state, and local employment laws and regulations; and reviews and modifies policies and practices to maintain compliance.
- Serve as an internal point of contact for all HR related employee relations, questions and/or complaints. Receive, investigate, and assist in resolving employee complaints in accordance with established policies and recommended best practices.
- Create and manage HR budgets, including compensation and benefits programs, ensuring that the organization is offering competitive packages to attract and retain top talent.
- Ensure HR perspective is considered in all decisions and initiatives by the executive/senior leadership team and ensure effective communication and alignment.
- Collaborate with members of the executive/senior leadership team to understand and identify staffing needs, develop job descriptions, and create effective recruitment strategies to attract top talent.
- Submit payroll for bi-weekly processing and record related transactions in QuickBooks accounting software.
- Maintain personnel records.
- Keep management and Board informed in a timely manner regarding any significant employee-related matter or complaint.
- Endeavor to maintain a work environment that supports the recruitment and retention of high-quality staff.
QUALIFICATIONS
Skills, Knowledge and Attributes
The successful candidate will have a combination of the following experience (related, but no listed experience will be considered):
- Knowledge of the basic principles of accounting and generally accepted accounting principles (GAAP), Financial Accounting Standards (FASB) practices and specific to nonprofit/fund accounting.
- A track record in grants management.
- Thorough knowledge of employment-related laws, regulations and practices.
- Proficiency in Microsoft Office Suite or Google Workspace Apps, Video Conferencing software and QuickBooks (or similar accounting) software.
- Commitment to training programs that maximize individual and organization goals across the organization including best practices in human resources activities
- A successful track record in setting priorities; keen analytic, organization and problem-solving skills which support and enable sound decision making
- Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders
- A multi-tasker with the ability to wear many hats in a fast-paced environment
- Excellent leadership and management skills, with experience leading and developing high-performing teams.
- Personal qualities of integrity, credibility, and dedication to the mission of MedShare International.
- Strong administrative writing and verbal communication.
Education / Professional Certification
- Minimum Bachelor’s (4-year) degree in Accounting or Business Management or related field required; alternatively, equivalent experience in non-profit accounting or similar experience that demonstrates the knowledge and ability to perform the work will be considered in lieu of education.
- Master’s degree, preferred.
- Professional Certifications, a plus. Certified Public Accountant (CPA) and SHRM-CP / SCP or HRCI-PHR / SPHR / GPHR
Experience
- Minimum Seven (7) years of professional experience; ideally five (5)+ years of broad financial and human resource management experience.
- Knowledge of relevant physical inventory accounting practices.
- Experience of final responsibility for the quality and content of all financial data, reporting and audit coordination for either a division or significant program area, and has preferably overseen a human resources function previously.
- Experience working in a computerized accounting and human resource environment and with databases, including data entry and customized querying/reporting.
- Promotes and adheres to the organization's mission, vision and values, policies and applicable laws in a fair and equitable manner.
- Represents the organization in a professional manner to all donors, vendors, and internal personnel.
