Position: Bookkeeper Part-time salaried Reports to the Rector works with Treasurer
Annual Salary: $22,000, exempt; Hours per week: 10 Work remotely, except for at least one day per month to attend Tuesday staff meeting, sort mail, file documents, and maintain an orderly work environment.
About St. Bartholomew’s Episcopal Church, Atlanta. St. Bart’s is a faith community dedicated to worship, justice and peace, pastoral care, hospitality, and Christian formation. All God’s children are welcomed. We are seeking a bookkeeper to join our financial ministry team who understands the important relationship between money and people and can work with a team of volunteers.
Position Description The Bookkeeper works in tandem with the Treasurer and is assisted by the Parish Administrator, and volunteers who support the finance ministry of St. Bartholomew’s.
Essential Duties
Keeps abreast of all financial matters and maintain a congenial environment for interaction with parishioners.
General Accounting
Maintain complete and accurate records of all church financial transactions. Ensure accounting records present an accurate and timely financial picture of the church. Manage a well-organized system to account for financial transactions by maintaining a chart of accounts. Perform Month-end Procedures and submit checklist for review. Stay up to date on any updates to the church accounting system, Realm. Maintain restricted accounts per the expectations of the donor(s). Post receipts to and disbursements from all accounts according to established procedure using Realm accounting data system. Archive records by filing documents, hard copy and in the cloud. Administer appropriate record retention. Refine bookkeeping policies and procedures.
Accounts Receivable
Post creditable offerings weekly to individual accounts, including preparation for ACH transactions. Coordinate with office staff concerning new sources of funds received as memorial gifts, etc. to ensure proper accounting of the funds. Set up new accounts in the church accounting system as needed.
Accounts Payable
Enter all approved invoices submitted for payment via Bill.com, cut checks upon occasion, submit to the person authorized to sign checks, and prepare for mailing. Check all received vendor invoices and reimbursement requests for accuracy, completeness, and authorization. Prepare and issue direct payments according to church policy including A/P, payroll, and retirement payments. Manage payroll through Paychex and make contributions to retirement plans. Maintain vendor data in church accounting system.
Statements
Produce financial reports for the Vestry/Finance Committee by the 10th of each month. Prepare monthly, quarterly, and annual reports in a format that meets requests of the Treasurer/Finance Committee. Maintain balance sheet. Work with church volunteer to continue independent reconciliation of all bank accounts. Maintain bank statements. Assist the Treasurer in preparing annual financial report required by the Episcopal Church.
Other
Work with the Treasurer and Rector to implement recent audit recommendations. Under the direction of the Treasurer or Finance Chair work with the church staff to develop the annual budget. Once approved, input budget into the church accounting system in a timely fashion. Receive and complete requests concerning financial matters within 3 business days and confirm when the request has been completed. Assist in annual financial audits as necessary. Process new hires and maintain employee letters of agreement. Attending a portion of quarterly Finance Committee meetings. Maintain confidentiality of church records. Other duties as assigned.
Knowledge, Skills, and Abilities:
Knowledge and experience with generally accepted accounting principles and practices. Welcoming disposition, willingness to accept and serve all persons. Attention to detail with precision. Excellent communication and computer skills. Willingness and ability to learn and effectively use software that may not be familiar. Ability to work independently and with a group knowing when to ask what is needed and take initiative. Ability to be nimble and effectively manage time and workload. Knowledge and practice of office etiquette. Must pass a background check to comply with church requirements.
Qualifications
3-5 years’ experience in a church or non-profit setting preferred. An associate or technical degree in accounting or a combination of education and experience preferred. Proficient in Realm/Automated Church Systems or similar database software, Paychex, or similar software, Bill.com, Microsoft 365 Office Suite: Word and Excel.

Required Trainings The Episcopal Church requires Safe Church and Dismantling Racism trainings. All are offered online and must be completed within three months of starting the position.

Parish History
On December 12, 1953, thirteen Episcopalians residing near Toco Hills met with Rev. Harry Tisdale, rector of Holy Trinity Parish in Decatur, to explore the feasibility of establishing a mission church. The group felt Toco Hills was ready for an Episcopal Church, and soon received approval to establish a congregation that would become St. Bartholomew’s Episcopal Church. This mission venture began with the sort of hands-on participation that would become typical during the next fifty years. All men present agreed to serve on the first vestry, and the women created the first altar guild. By January 1954 the small group had grown rapidly and plans were made to conduct the first service on January 31. The new parish would be named for the Apostle St. Bartholomew.
Today
St. Bartholomew’s continues to be a place known for and where great care is given to worship—the liturgy, the music, and the sermons. This is the central place in our community where people are renewed in their baptismal identity, and nourished spiritually. We open our doors to all who seek God or a deeper knowledge of God. Glimpses of true community can be seen at coffee hour and at breakfast where tables are people are alive with conversation, relationships are being renewed, and barriers removed. We want to know what is going on in one another’s lives and how we can help and be present in the needful places.
We are deliberate in Christian education and formation for children, youth, and adults. We want to be formed as the people of God. We are achieving a better balance between outreach and “inreach.”
As we are renewed in an ongoing way as the people of God, we cannot help but reach out to others locally and globally. We cannot help but care about the people and things that God cares most about. We continue our partnerships with Toco Hills Community Alliance, Emmanuel Counseling Center, and other outreach agencies and projects.
Tomorrow
Who will we be in future? We will continue to grow as faithful people of God, pushing into areas that are not always comfortable, stretching our spiritual legs and hearts. We will continue to strengthen the formation of all our people. We will continue our strong tradition of liturgy and music. We will continue our radical hospitality and welcome. We will continue our strong stand on social justice and helping others. We will address the growing need for space and the demands of our aging facility and infrastructure.
To accomplish all these things we will live into God’s good future together and work side by side as the body of Jesus Christ in this place and in this time.
