Bookkeeping Duties:

  • Daily Posting of invoices, deposits, donations, and all other transactions to QuickBooks
  • Prepare deposits
  • Monitor and input data in fundraising donation platform
  • Daily Monitoring of bank account and ensuring spending forms are submitted with correct documentation for each transaction
  • Monthly reconciliation of bank account and making sure all spending forms line up with charges in bank account
  • Make daily or weekly entries in QuickBooks for Child Development Center parent payments  and CAPS payments
  • Maintain records and reconcile petty cash drawer
  • Process bi-weekly payroll and process payroll taxes per tax deposit schedule
  • Prepare Quarterly tax forms and submit them to the IRS. Comply with state and federal government reporting requirements
  • Responsible for all billing for Accounts Receivable including grants
  • Assist staff with grant budgets for corresponding programs
  • Receive, track and pay Accounts Payable invoices
  • Attend fundraisers and maintain incoming and outgoing funds
  • Prepare Monthly and yearly financial statements for Executive Director and Board of Directors
  • Assist Executive Director with preparation of annual budget
  • Prepare board meeting financial items
  • Prepare year-end Giving Statements
  • Prepare W-2’s, 1099’s and Annual Audit

Administrative Duties:

  • General clerical duties to include but not limited to: photocopying, faxing, mailing and filing
  • Process new hire paperwork and create and maintain employee personnel files
  • Create new hire Google Workspace account, timesheets, and add employees to time clock
  • Process exit paperwork and complete separation notices
  • Prepare correspondence and reports
  • Maintain hard copy and electronic filing system
