Job Details

Title: Church Administrator

Reports to: Rector/Senior Pastor, St. Bartholomew’s Episcopal Church, Atlanta

Hours: 32 hours a week. Monday - Thursday 9:00 am - 4:00 pm; Friday 9:00 am - 1:00 pm. Occasional evening work. Status: Regular Full-Time, Exempt

Compensation and Benefits: Salary $40,000-$50,000 annually based on experience. Benefits include: two weeks’ vacation, sick leave, medical benefits for one person, contribution to denominational pension plan. Professional development. Observance of National Holidays; time off granted following the busiest times of the church year.

All God’s children are welcomed. We are seeking a parish administrator to join our ministry team as the spark who keeps things moving.

 

Position Description

Under the supervision of the Rector, the Parish Administrator manages the daily operations and business of the parish. Collaborative assistance to clergy, staff, congregation, and committees to support the ministries and mission is provided as needed. This work includes, but is not limited to data and records management, phone, mail, and email support; supplies and inventory management, communications, managing use of church space by parish and outside groups, supporting church ministries and committees, and collaborating with volunteers. The Parish Administrator will be a resource person for both members and non-members, and a welcoming and responsive presence while engaging others. The Parish Administrator is a self-starter, detail oriented, capable of working across generations, and able to maintain healthy boundaries and practice confidentiality.

Essential Duties

Information Management

  • Prepare weekly worship bulletins and work with the communications administrator. Maintain parish records hard copy and cloud based with Realm. Records include membership, baptism, confirmation, marriage, and death. Create and monitor Signup Genius, occasional setup for Zoom. Produce reports, directories, and other documents from parish records under the direction of the Rector, vestry, and committee leadership. Coordinate the parish calendar to facilitate building use by internal and external groups. Assist with preparing and distributing various materials for marketing and information sharing.

Administrative Support

  • Provide a welcoming and helpful presence via telephone, email, and in the parish office. Provide administrative support to the Rector. Respond to requests for information and resources via email, telephone, and in-person visits. Provide administrative support to vestry or other committees, including preparing meeting documents, posting minutes; making document copies, sending out mailings, etc. Monitor inventory and place orders for supplies and equipment as needed and as authorized. Enforce accounts payable process, by entering accounting numbers, and checking approvals. Coordinate with the treasurer using bill.com to scan invoices and other accounts payable; keep track of contracts. Coordinate with vendors as delegated by Rector, Wardens, and Building & Grounds Committee Sort incoming mail and send parish mailings and other outgoing mail. Maintain and manage parish calendar and communicate details to all staff and post weekly schedule. Manage and monitor Church security system. Train users and track distribution of all key fobs and keys. Manage on-line thermostat system for weekly meetings and regularly scheduled events.

Liturgy Support

  • Working with the Rector and Director of Music and Organist, prepare, proof, and copy worship materials and bulletins for Sunday morning and other services such as funerals and weddings. Be cognizant of the liturgical calendar and its integration into parish life.

Volunteer Support

  • Assist in recruiting, coordinating and scheduling volunteers as needed, under the direction of the Rector and committee leadership. Organize workflow and maintain a tidy and usable office environment. Assist in coordination of special events.

Other duties as assigned. 

Knowledge, Skills, and Abilities:

  1. Welcoming disposition, willingness to accept and serve all persons. Ability to work independently and with a group knowing when to ask what is needed and take initiative. Ability to be nimble and effectively manage workload. Effective communication skills, both verbal and written. Willingness and ability to learn worship details related to the weekly bulletin.  Strong writing and grammar skills, including proofreading. Proficiency in word processing, spreadsheets, and database applications. Demonstrated organizational skills, including calendaring, project coordination, and prioritization. Able to write and format letters and labels. A keen understanding and practice of confidentiality and establishing and maintaining healthy boundaries. Knowledge and practice of office etiquette. Knowledge of supply procurement, including the ability to research vendor prices and negotiate costs. Must be able to lift 20 pounds. Must pass a background check to comply with church requirements.

Qualifications

  • 3-5 years’ experience in a church or non-profit setting. Episcopal Church, ELCA, or Roman Catholic is ideal.
  • An associate or technical degree in a related field i.e., administration, communications, or equivalent combination of education and experience preferred.
  • Proficient in Microsoft 365 Office Suite: Word, PowerPoint, Excel, Publisher.
  • Competent in Constant Contact, Signup Genius, Automated Church Systems or Realm, Bill.com, Zoom, Google Suite.

Required Trainings

The Episcopal Church requires Safe Church and Dismantling Racism trainings. All are offered online; completion within 3 months of hiring.

Parish History

On December 12, 1953, thirteen Episcopalians residing near Toco Hills met with Rev. Harry Tisdale, rector of Holy Trinity Parish in Decatur, to explore the feasibility of establishing a mission church. The group felt Toco Hills was ready for an Episcopal Church, and soon received approval to establish a congregation that would become St. Bartholomew’s Episcopal Church. This mission venture began with the sort of hands-on participation that would become typical during the next fifty years. All men present agreed to serve on the first vestry, and the women created the first altar guild. By January 1954 the small group had grown rapidly and plans were made to conduct the first service on January 31. The new parish would be named for the Apostle St. Bartholomew.

Today

St. Bartholomew’s continues to be a place known for and where great care is given to worship—the liturgy, the music, and the sermons. This is the central place in our community where people are renewed in their baptismal identity, and nourished spiritually. We open our doors to all who seek God or a deeper knowledge of God. Glimpses of true community can be seen at coffee hour and at breakfast where tables are people are alive with conversation, relationships are being renewed, and barriers removed. We want to know what is going on in one another’s lives and how we can help and be present in the needful places.

We are deliberate in Christian education and formation for children, youth, and adults. We want to be formed as the people of God. We are achieving a better balance between outreach and “inreach.”

As we are renewed in an ongoing way as the people of God, we cannot help but reach out to others locally and globally. We cannot help but care about the people and things that God cares most about. We continue our partnerships with Toco Hills Community Alliance, Emmanuel Counseling Center, and other outreach agencies and projects.

Tomorrow

Who will we be in future? We will continue to grow as faithful people of God, pushing into areas that are not always comfortable, stretching our spiritual legs and hearts. We will continue to strengthen the formation of all our people. We will continue our strong tradition of liturgy and music. We will continue our radical hospitality and welcome. We will continue our strong stand on social justice and helping others. We will address the growing need for space and the demands of our aging facility and infrastructure.

To accomplish all these things we will live into God’s good future together and work side by side as the body of Jesus Christ in this place and in this time.
