DEPARTMENT OVERVIEW

 

Circulation & Collection Maintenance, along with Interlibrary Loan, Operations, and Reserves & Media comprise the User Services & Resource Sharing department, which is responsible for the circulation and appropriate duplication of bibliographic materials to support the teaching mission of the University and the research needs of the campus community.

 

JOB SUMMARY

 

Circulation & Collection Maintenance Assistants are a part of the Circulation & Collection Maintenance unit, which is part of the User Services & Resource Sharing (US&RS) department at the University Library. Under the general supervision of the Circulation & Collection Maintenance Coordinator, the Circulation & Collection Maintenance Assistants perform and supervise all functions onsite at the Circulation desk and in the general collections. Circulation & Collection Maintenance Assistants are responsible for providing onsite service at the University Library circulation desks; overseeing the work of student staff; ensuring Library security and patron safety; maintaining the general collections; and troubleshooting equipment. Circulation & Collection Maintenance Assistants collaborate with other staff members on projects and participate in library committees. APPOINTMENT INFORMATION

 

Budgeted Salary: $23-90 - $27.14 / hourly. Salary commensurate with skills, qualifications and experience.

Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

 

50% - Public Service Desk

 

• Check materials in and out, place holds, recalls, and searches; renew materials; assign barcodes to materials that have never been checked out by creating item records; answer phones, transfer calls and take messages; issue and update library cards to all patron categories; accept materials for reserves processing. Assist patrons in person at our two service desks and virtually through email and live chat.

• Inform patrons of library policies and demonstrate basic research methods; teach patrons how to locate materials within the local collection; teach patrons how to look up reserve materials; demonstrate placing of Interlibrary Loan requests; identify and refer complex requests.

• Perform all routines for the proper opening and/or closing of the buildings. Upon closing ensure the building is vacated and locked down.

• Describe printing and scanning options to patrons, provide basic troubleshooting of ITS-managed equipment, and direct unresolved issues to ITS as needed. Provide patron education and support for microfilm readers and scanners.

 

30% - Collection Maintenance

 

• Assist with all aspects of daily Collection Maintenance work for general collections housed at the University Library. Participate in sorting, shelving, shifting, and shelf-reading library material.

• Perform searches (daily, monthly, and 3-month) at both libraries.

• Participate in stacks projects such as large shifts and reorganizing stacks; train and monitor work on these projects.

• Make recommendations for improved efficiency in the department.

Mending: tasks include minor repair of material including, but not limited to, tip-ins of loose pages, page tear repair, rehousing damaged items, and updating notes about missing pages or damage in the LMS system.

• Binding: prepare monographs and rebinds for binding. Tasks include preparation of style of Standard Non-Collate, removing covers and glue, designating spine information, cover cloth, and method of leaf attachment.

• Serial binding: online updating of serial record, checking material for binding quality and accuracy upon return, resolving serial check-in record inaccuracies, initiating searches and completing binding actions on title canceled or ceased, updating binding information in serials record with binding preparation instructions, title and binding style information, title changes, frequency changes, etc. Flag problems related to serials titles and see that they are resolved.

• Microfilming: collate papers, systematize numbers, prepare filming targets, prepare recharge paperwork and check quality of film when returned to campus by an offsite vendor.

 

10% - Student Supervision

 

• Participate in interviewing and hiring student workers.

• Assist with training and supervising students in all circulation/collection maintenance duties; direct the work of students in these tasks.

• Assist with the creation and maintenance of training material for student workflows.

 

5% - Safety and Security

 

• Maintain a clear understanding of, and ability to implement established library emergency procedures; follow specific lines of communication in the event of an emergency; during evenings, nights, and weekends incumbent may be solely responsible for the safety and security of building, collections, and patrons.

• Complete library incident reports, noting that reports may vary in urgency.

• Communicate with Library and campus security personnel during the evening hours.

 

5% - Miscellaneous

 

• Participate in US&RS department meetings and as appropriate attend Interlibrary Loan or

• Reserves & Media unit meetings.

• Participate in approved professional development opportunities.

• Participate in unit-wide initiatives. Assist other units as necessary and participate in ad-hoc projects as assigned.

 

REQUIRED QUALIFICATIONS

 

• Strong customer service experience.

• Experience assigning, reviewing and following up on the work of others.

• Strong interpersonal skills including tact, diplomacy, and flexibility to work effectively with staff, faculty, students, and the public.

• Ability to complete assignments with attention to detail and a high degree of accuracy.

• Ability to establish priorities and manage multiple activities to meet unit, campus and University deadlines.

• Ability to work independently with minimal guidance and as part of a team.

• Experience using computer applications, including word processing and strong keyboarding skills.

• Ability to exercise discretion with regard to sensitive information.

• Ability to make decisions following standard library policies and past precedents, recognizing an emergency situation, and taking action based on agreed-upon procedures.

• Understanding of the ways that racism, ableism, and sexism appear in work environments; interest in fostering an inclusive environment that supports a sense of belonging.

 

PREFERRED QUALIFICATIONS

 

• Experience with the following software or similar: Integrated Library System Ex Libris Alma, Springshare LibApps, schedule management programs, and Google Apps for Education (such as Gmail and Google Docs).

 

SPECIAL CONDITIONS OF EMPLOYMENT

 

• Selected candidate will be required to pass a pre-employment criminal history background check.

• Ability to work long periods of time at a computer with or without accommodation.

• Ability to perform essential physical job functions.

• Will be required to work all scheduled hours on-site.

• Ability to work occasional evenings and weekends as directed.

• Ability to work overtime including evenings, nights, weekends and holidays to meet operational needs, and work an alternate work schedule shift as required.

• Ability to work a variable schedule including nights and weekends, generally closing the library at midnight. Sunday - Thursday shift, or a Tuesday - Saturday shift. Three times during the academic year there will be night shifts until the early morning (2-3AM). Ability to move materials weighing up to 50 lbs. with or without accommodation.

• Ability to perform essential physical job functions requiring bending, lifting, stretching, and pushing/pulling.

• Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
