Job Details

The Atlanta History Center is looking for a highly motivated and results-oriented professional to fill the full-time role within the organization of Gifts and Grants Manager. Supporting the Development department primarily through gift entry, grant support, donor records maintenance, as well as providing vital administrative support. This position requires working onsite Monday - Friday and occasional evening and weekend duties.

Main Duties and Responsibilities

Grant Management

  • Works closely with VP of Development on leading grant fundraising opportunities annually. 
  • Research new and current grant funding opportunities to understand deadlines, funding priorities, recent grant activity, foundation leadership, etc.
  • Project manage active grants and sponsorships, such as timelines, deliverables, and gathering necessary materials 
  • Assist with writing letters of inquiry, applications, proposals, and reports.
  • Work cross-departmentally to collect and maintain up-to-date data on programs and projects for applications and reports.
  • Organize and maintain supporting materials for grant applications and reports.

Database Administration 

  • Provide integral data support across the organization within development software and how it relates to other institutional systems, working closely with the Manager of Membership & Donor Services.
  • Assist in several aspects of the database, including data entry and database cleanup.
  • Aid in establishing, documenting, and implementing policies and procedures relevant to the organizational use of development software.
  • Handle ad-hoc interdepartmental data requests in a timely manner.                                                                                   
  • Manage the digitalization of donor records and organization of print documents.
  • Act as a supporting staff member to pull and proof lists related to organizational mailings.

Gift Entry 

  • Accurately enter all non-membership gift information into development software, including ensuring supporting materials are collected interdepartmentally.
  • Provide direct support to Cherokee Garden Library with regard to maintaining donor records, gift receipts, gift acknowledgments, and gift entries.
  • Collaborate with staff on gift entry related to receiving gifts and gift-receiving procedures.  
  • Be the primary gift entry and records staff member for Swan House Ball, capital campaigns, and non-membership-related Atlanta History Center donations. 
  • Works with the Manager of Membership and Donor Services on internal audits of gifts. 
  • Proof and pull acknowledgment letters for non-membership gifts, when requested.
  • Assist the Development department with in-house mailing processes for non-member-related mailings.
  • Manage matching gifts, as they relate to non-membership donations.

Data Health 

  • Works with the Manager of Membership & Donor Services and ensures that donor data is consistently updated, accurate, and easily retrievable.
  • Assist in data health processes and third-party vendors related to development software. 
  • Manage and file our donor hard files in a timely manner. 
  • Assist Manager of Membership and Donor Services in future transition process between databases and/or ticketing systems.
  • Enter development data as it is related to appeals, attendance, actions, and other donor attributes. 

Other 

  • Participate in select institutional events.
  • Perform other related duties and responsibilities as required and assigned.

Requirements

  • Bachelor’s Degree or related experience.
  • Minimum two years of work experience related to grant writing or grant management.
  • Excellent computer skills; knowledge of Microsoft 2010 and CRM software, such as The Raiser’s Edge and/or Galaxy ticketing software.
  • Software Experience with ticketing systems such as Galaxy Ticketing, supporting technologies including Credit Card Processing, POS experience, Omatic, Cuseum a plus.
  • Experience in development and special events a plus.
  • Excellent oral and written communication skills with demonstrated ability to present ideas effectively.
  • Strong interpersonal skills with demonstrated ability to work collaboratively and to engage in a public setting.
  • Ability to set and meet deadlines with minimal supervision, prioritizing duties effectively and efficiently.
  • Ability to work closely and cooperatively with diverse groups of individuals, functioning independently and as a team member.
  • Available for evening and weekend coverage, as assigned.
  • Some standing, walking, bending, frequent use of hands, stooping and light lifting (roughly 30 pounds) is needed.
  • The ability to work in front of a computer for long periods of time.
