Who We Are

The Law Foundation of Silicon Valley (LFSV) advances the rights of historically excluded individuals and families across Santa Clara County through legal services, strategic advocacy, and educational outreach. We serve over 10,000 individuals and families each year through our Housing Program, Children & Youth Program, and Health Program. Our attorneys, social workers, and advocates use legal advocacy as a tool for social change by crafting inventive solutions to the legal issues facing low-income people in our region.

With a staff of 90 employees, we are the largest provider of free legal services in the South Bay region of the Bay Area. Our work is collaborative and meaningful and includes plenty of opportunities for professional growth. As a staff, we actively engage in discussions about race, equity, and inclusion, and are actively working towards a Black, Indigenous, People of Color (BIPOC)-centered legal services practice that incorporates community and movement lawyering. 

What You’ll Do

The Grants Billing Manager is a key member of the Finance team, responsible for day-to-day management and administration of prospective, pending, and awarded grants and contracts for LFSV. This position will serve as the primary liaison with most matters related to grants, contracts administration, and/or compliance.  The Grants Billing Manager will report to the Chief Operating Officer and will work closely with the Controller, Contracts Manager, and program directors. The ideal candidate must be innovative, collaborative, and have a strong technical foundation in financial systems and processes.

Primary Duties

Grants & Contracts Management

Provide a range of grant and contract support across the organization, including but not limited to:

  • Preparing and submitting monthly billings and quarterly/bi-annual reporting
  • Generating reports and preparing documentation in support of all contracts/grants
  • Monitoring grants and contract expenditures against the budget to determine when revisions are necessary and to ensure proper alignment of expenses with the budget
  • Producing monthly billing variance analysis and reporting to enhance business decision-making
  • Working with the Contract Manager to complete monthly and fiscal grant/contract reviews
  • Serving as the key liaison for all contracts and contract management
  • Coordinating with Contract Manager and program managers to ensure contract requirements are fulfilled
  • Reviewing and approving subcontractor invoices
  • Maintaining current knowledge of relevant contractual procedures and practices
  • Overseeing a diverse and moderately complex portfolio
  • Independently identifying compliance concerns; interpreting regulations for Directing Attorneys and Management
  • Initiating and convening inter-departmental meetings, as needed

Financial Management

Manage organization-wide financial practices, including but not limited to:

  • Collaborating with Executive Management in assessing efficacy of internal financial policies and procedures and drafting them, as needed
  • Supporting annual budget creation, budget projections, and analysis of expenses, as needed
  • Generating reports and preparing documentation in support of contract invoicing, donation reconciliation, annuals audits, and other key accounting functions
  • Contributing to improving department and cross-functional processes to increase accuracy and efficiency
  • Managing complex financial projects or initiatives to address evolving organizational needs

Who You Are

To be considered for this role, you must have the following:

  • A Bachelor’s degree in Accounting, Finance, or Business
  • A minimum of 4 years’ experience managing grants and nonprofit finances
  • Familiarity with GAAP as applied to nonprofits, including restricted and unrestricted fund accounting
  • Strong writing skills and the ability to convey complex messages in a clear and meaningful way, as well as the ability to address issues in a non-confrontational and non-polarizing way to a range of diverse audiences
  • Be resourceful and innovative, bringing an optimistic and hands-on approach to the team
  • Proficiency in Microsoft Excel, Word, and Outlook
  • Proven ability to collaborate with a diverse team of administrative and program staff\
  • Commitment to racial equity, inclusion, and belonging
  • Ability to recognize the ways that race and other identities intersect in the work that LFSV does

  • Familiarity with Paylocity

What We Offer

This is a full-time, exempt position, supervised by the Chief Operating Officer. The annual base salary for this role will be competitive and commensurate with successful candidate skills and experience. The salary range for this role is $85,000 to $95,000 with generous benefits, including:

Location

Law Foundation is a hybrid workplace and staff will be required to commute to our San Jose offices 2+ days per week. If staff can meet the requirements above, including commuting at their own expense, staff may live anywhere in California. Due to logistical challenges regarding taxes, insurance, and time zones, we are not able to consider staff in other states at this time.
