Overview of Position: 

Building universal access to justice is a huge undertaking – it requires forward-thinking and community-minded government officials and agencies making an invaluable investment by partnering with us. We’re grateful to say that as we’ve grown, so have the number of partnerships and the amount of public grants awarded to us. Having a Public Grants & Data Manager managing multiple restricted public grants, which can have overlapping and specific criteria for what expenses can be allocated and what data must be tracked, allows our legal staff to focus on representing anyone in our service areas with a legally viable case. Budgets need to be produced, costs need to be allocated, and invoices need to be produced, all with the highest standards, to ensure we can continue to serve our clients. 

If stories are the engine for getting grantors and other funders engaged with us, then data is the fuel. Effective public grant management requires someone who enjoys using the data we’ve collected to tell the incredible stories of our resilient communities. You will need excellent data analysis skills, comfort with resolving ambiguity, systems thinking, and a solid understanding of nonprofit accounting standards. 

We would like this role to act as a strategic partner with our Director of Finance and the rest of our team with the growing number of public grants under contract. The work is highly deadline-oriented which requires you to be organized, think critically, and be flexible. Overall, this position is intended to be a challenging and rewarding experience for someone who is interested in using that knowledge to impact the lives of local low-income community members. 

Responsibilities:

  • Ensure effective, timely, and accurate allocation of all grant expenses and completion of grant deliverables.
  • Manage our data systems used including onboarding new grants into the system, producing reports for internal use, evaluating and requesting feature changes in our systems to best suit data collection and grant requirements, and submitting correct data to funders.
  • Create and manage a grant allocation strategy that ensures we fully bill down all our public grants while fulfilling each grant’s purpose. Currently, we have grants with The City of SF (MOHCD & HSA) and the State of CA (IOLTA & other judicial counsel-funded grants).
  • Create grant budgets that reflect the true total cost of the services provided and fit into the organization’s overall budget.
  • Perform data integrity checks for time and funding assignments and liaison with funders around compliance audits.
  • Submit invoices for all public grants in a timely manner with proper documentation.
  • Measure grant timelines and deliverables and communicate with other staff if we are behind in meeting deliverables.
  • Work cross-functionally with the development team and legal program teams on grant implementation and data analysis. 
  • Work closely with the finance team on other projects as needed, and act as backup or support on accounting functions as needed.

Requirements: 

  • Passion for the mission of Open Door Legal
  • Degree in business administration, public policy, or other related field or equivalent relevant work experience
  • At least five years of hands-on experience with California and/or city government contracts and grants
  • Experience with data entry, accounting, and financial systems
  • Proficient in Microsoft Office Suite, specifically Excel
  • Methodical thinking and a detail-orientation
  • Demonstrated prior experience working with a high degree of autonomy
  • Commitment to continual learning
  • The ability to interact professionally regarding confidential matters with people inside and outside the organization.
  • Live in the Bay Area or must relocate to the Bay Area within 6 months of start date.
  • Work from one of our 4 office locations at least 2 days per week
  • Light to moderate physical effort to perform duties for this role in an office environment, including the ability to physically open and close the offices, operate a computer keyboard and standard office equipment, sit, stand, and lift up to 50 pounds occasionally.
  • Must be legally authorized to work in the U.S. without sponsorship.

Bonus Points: 

  • Knowledge of auditing policies and compliance requirements
  • At least one year of hands-on grant management on any San Francisco city public grant (especially MOHCD or IOLTA grants).
  • Experience with Salesforce, Sage Intacct, and/or other software
  • Experience working with low-income and vulnerable populations.
  • Experience working in a human services nonprofit.
  • Having lived a significant period of your life in San Francisco proper.

Salary: $82,500 - $98,500 annually
