About the Position:

We are seeking an Administrative Manager to join our HR Administration & Operations Team.

The Administrative Manager will primarily be responsible for the improvement, integrity, compliance, and completeness of contract management. Additionally, this role will collaborate with the Director of HR Administration and Operations to develop, administer, and implement organizational systems including insurance policies, time tracking, and employee resources. This position will work closely with our Legal and Finance teams. COVID depending, it is expected that this position will be required to be in-person at the DC office at least weekly.

We estimate that candidates will have about 6 years of relevant experience for this position, but our review of candidates for this role will focus on whether they can fill the needs of the position, not just years of experience.

This position will report to the Director of HR Administration & Operations.

Primary Responsibilities:

The Administrative Manager will:

  • Own the process for contract administration under the guidance of the Director of HR Admin & Operations, which include: template development, determining if legal review is needed, ensuring contracts meet compliance requirements, providing recommendations regarding labor law compliance, coordinating budget sign-off, and gathering contract signatures;
  • Evaluate the current contracts process and system and redesign it in consultation with the Director of HR Admin and Operations;
  • Conduct an initial review of contracts, flagging areas of concern and necessary follow-up;
  • In collaboration with Director of HR Admin & Operations, ensure effective development, administration, and implementation of organizational systems at CPD/A, including ensuring accurate and complete time tracking submissions, and employee resources;
  • Ensure the integrity of the contract filing and tracking system;
  • Work with the Director of HR Admin & Operations to manage general organization-wide insurance policies. This includes requesting certificates of insurance from insurers, making sure premiums are paid, communicating changes and updates to our broker, and assisting during the renewal of policies process;
  • Maintain the functionality of the DC office work space by checking mail, ordering supplies, and serving as front desk support during in-person meetings;
  • Serve as back-up on processing payroll and collecting time-tracking data.

The Ideal Candidate Will Have:

  • Significant operations experience.
  • A demonstrated knowledge and understanding of contract management.
  • Experience handling confidential information and a commitment to discretion.
  • The ability to manage competing due dates and priorities.
  • Experience working across departments or teams within an organization.
  • A demonstrated ability to be a strategic problem solver.
  • A commitment to social, racial, and economic justice and a deep understanding of challenges facing low-wage workers, immigrant communities, communities of color, disabled people, LGBTQ+ folks, and people at the intersections of the above communities.

Salary and Benefits:

CPD/A is a unionized workplace. This is a confidential position, not included in our bargaining unit. Salary will be determined according to a salary scale which takes into account years’ experience, location, job category, and other factors, but is expected to be $65,000-$75,000.
