JOB DESCRIPTION

Summary
The Safe Release Support Program Specialist primary responsibility is to perform fingerprints for sponsors of unaccompanied minors. The process includes arranging appointments with sponsors, through answering phone calls and emails requesting appointments and working to maintain an up-to-date calendar of fingerprint appointments. When sponsors arrive for appointments, the Program Assistant will greet them in the reception area and lead them to the digital fingerprint site. The Program Assistant will help sponsors complete paperwork necessary for fingerprinting and perform the physical fingerprinting act. The Program Specialist is also responsible for providing appropriate community referrals to families for needed services and ensuring they understand the ORR sponsorship process and what is expected of them. The Safe Release Support Program Specialist may also provide case management services to a limited number of unaccompanied children and their families in the region. This position requires high proficiency in Spanish.

Essential Functions

  • Coordinates with sponsors, shelters, and LIRS to schedule fingerprint appointments for sponsors.
  • Completes paperwork accurately and in compliance with program standards. Makes copies of required documents for client files. Ensures that all files are accounted for and properly completed each month. Ensures that items are filed in an organized manner for quick retrieval and reference.
  • Enters sponsors information accurately into the Fingerprint database, conducts the digital fingerprints, and submits the completed information electronically.
  • Refers clients to Legal Orientation Program for Custodians of Unaccompanied Alien Children (LOPC). Counsels sponsors on available resources in the area to assist with social support.
  • Maintains the Digital Fingerprint Machine through proper care and reporting of any technical issues.
  • Provides Family Reunification Coordinate with accurate data to ensure timely completion of reports and informs Family Reunification Coordinator about any issues related to the sponsors or equipment. Reports patterns of problems or non-compliance to Family Reunification Coordinator.
  • Complies with the Rules of Behavior for the HHS Digital Fingerprinting System and the Safe Release Support Program Manual
  • Attends program trainings and conference calls.
  • Maintains confidentiality and appropriately handles sensitive information in compliance with HIPAA standards.
  • Participates in Inspiritus functions and public relations activities.
  • May serve as interpreter when language skills are applicable for case services.
  • Conforms with and abides by all regulations, policies, work procedures and instructions.
  • Complies with the various federal, state or local laws that apply to and regulate the job responsibilities.
  • Participates in training, fundraising events and other Inspiritus activities and initiatives such as performance and quality improvement (PQI).

Work Environment
          This job operates in a professional office environment. This role routinely uses standard office equipment            such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands
           This is largely a sedentary role; however, some filing is required. This would require the ability to lift files,             open filing cabinets and bend or stand as necessary.

Position Type and Expected Hours of Work
           This is a full-time position. Days and hours of work are Monday through Friday, 9 am to 5 pm.

Travel: Up to 10% local travel

Required Education and Experience

  • Must read, write and speak English and Spanish fluently.
  • High School Diploma or Equivalent and two years general office experience including typing and/or keypunching data into a computer and monitoring data in paper and electronic format or any equivalent combination of training and experience which provides the required knowledge skills and abilities.
  • Superior computer skills including knowledge of Excel (create spreadsheets, sort, drop down menus, formulas, look up tables, etc.) and Access or other database.
  • Ability to sort and file documents alphabetically and numerically.
  • Ability to maintain confidential information.
  • Must be accurate, detail oriented and organized.
  • Must be able to prioritize tasks.
  • Must have good time management skills.
  • Must possess superior listening skills and be patient.
  • Must have the ability to communicate with all persons in a culturally competent manner.
  • Must be sensitive to the service populations cultural and socioeconomic characteristics.
  • Must be able to influence others over whom he/she has no authority.

  • Or an equivalent combination of education, experience, competencies, skills and knowledge that ensures the successful completion of the essential job responsibilities.

Preferred Education and Experience

  • Bachelor of Arts or Bachelor of Science in a relevant area of specialty.
  • Experience and familiarity with the Office of Refugee Resettlement (ORR) programs and policies regarding family reunification of unaccompanied immigrant children
