SUMMARY
The International Society of Arboriculture (ISA) is a non-profit membership organization that serves the needs of tree care professionals, and promotes the profession of arboriculture around the world. ISA is known as the industry authority on research, education and professional development. Each role in the organization plays an important part in delivering excellent member benefits and customer service.


The Event Planner plays an integral role in the planning, organization and logistical facets of delivering high-quality, cost-effective meetings and events to ISA’s targeted audiences. This position provides a wide range of support for many aspects of events including site selection, pre-planning, and monitoring event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any issues that arise in the planning and delivery of the ISA Leadership Workshop and the ISA Annual International Conference. The Event Planner also manages ISA Qualification and Requalification course activity, takes a lead in managing the registration processes for ISA events, ISA Qualifications, and ISA Requalification, and supports the overall work of the ISA events department and organization.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
• Understands ISA’s Mission and adheres to organization and staff core values.
• Adhere to and develop processes related to events which ensure consistent service to event partners, sponsors, and attendees.
• Provide superior levels of customer service to promote a positive customer experience for all attendees and partners associated with ISA activities.
• Manage ISA Qualification and Requalification event activities. Duties may include, but are not limited to:
o Solicit workshop partners to present educational opportunities throughout ISA’s component network.
• Develops client relationships, prepares event summaries and event orders.
• Recommends event floor plans.
• Works with committees and host chapters, general service contractor and other contractors to secure and obtain City/local government floor plan approvals, licenses, and permits for event related activities.
• Schedules and conducts event pre-planning meetings; prepares and distributes agenda and materials for event pre-planning meetings.
• Develops internal documents including Event Orders, CAD Diagrams and other schedules necessary to Communicate the needs of the client and distributes pertinent event information to key ISA Stakeholder.
• Prepares estimates of ISA Stakeholders prior to event.
• Produces event billing and is responsible for post – event follow-up.
• Maintains, updates and organizes event information and the department's filing systems in keeping with the department policy standards. Assists with on-boarding and training new department personnel.
• Coordinates with Director of Event Services to determine the event schedule.
• Coordinates with the Director of Event Services to review security plans and/or contracts related to contracted events, monitors security during assigned events
• Communicates regularly with Director of Event Services to ensure successful planning and execution of all food & beverage activity.
• Maintains communication with contractors to ensure successful execution of event requirements.
• Gathers all event electrical needs and conveys those requirements to event stakeholders.
• Coordinates move -in / move-out for various contractors including but not limited to, general service contractor, audio-visual, floral, caterer with general service contractor
• Enforces building rules, security policies, event and fire/ life safety policies
• Monitors contractor progress during an event.
• Reports damages/incidences to management as they occur.
• Reviews and recommends operational policies and procedures for the department.
• Reviews and updates meeting planner’s guide as needed.
o Coordinates with the Director of Event Services to Determine level of event support required and enter into appropriate contract agreement with host.
o Arrange conference calls to coordinate logistics of event with hosts, identifying responsibilities in support of the event. Items such as, location, volunteers, catering and presenter specifics may be covered.
o Develop appropriate registration materials and manage registration process.
o Compose and distribute event reports
o Coordinate shipping of all materials associated with event to the host and to registrants.
o Manage vendor and sponsor commitments and relationships, when applicable.
o Coordinates with the Director of Event Services to reconcile financials at the end of each event.
o Manage instructor participation, when applicable.
• Plan ISA Approved Qualification Instructor training activities with collaboration from other ISA Staff.
• Serve as the logistical contact for ISA events, such as the Leadership Workshop and ISA Annual Conference. Duties may include, but are not limited to:
o Manage hotel room block and attendee reservations.
o Build and manage event registration, including serving as the main contact for participant questions.
o Work with facilities on function details including, but not limited to, food and beverage orders, audio/visual requirements, room sets, and space allocation.
o Prepare and update master schedules for events. This includes setting times and meeting room allocations for receptions, meals, refreshment breaks and concurrent workshop sessions
o Provides onsite management to ensure that all arrangements are executed properly. This includes ensuring that assistance is provided to attendees regarding general information, registration, housing, transport, communication, entertainment, audiovisual arrangements, and security. It also includes contact with local vendors and suppliers for assigned events.
o Reviews event supplier invoices for accuracy and approves payment for assigned events.
o Review promotional and registration materials for accuracy of informational items.
o Review function details that will be sent to the venues.
o Assist with onsite management to ensure that all arrangements are executed properly. This includes ensuring that assistance is provided to attendees regarding general information, registration, housing, transport, communication, entertainment, audiovisual arrangements, and security. It also includes contact with local vendors and suppliers.
• Travel to the ISA events including the ISA Annual International Conference and the International Tree Climbing Championships to assist with onsite event management and registration. Occasional travel to other meetings may be necessary.
• Assist in the coordination of other ISA (internal and external) related and/or contracted meetings held throughout the year, which includes working with;
o ISA staff or committee chairs.
o Vendors and suppliers.
• Play an active role in the continuous improvement of ISA meetings and events.
o Monitor feedback in an effort to improve overall customer satisfaction.
o Document and recommend process improvements.
o Ensure Events Department Policies and Procedures are up to date.
• Collaborate with other ISA staff members and/or committees as appropriate.

Education and/or Experience
• Post-secondary degree in a related degree program from an accredited college or university preferred; and/or a minimum two years related experience. Will consider candidates with an equivalent combination of education and experience.
Language Skills
• Fluent in English, both verbal and written. Fluency in additional languages is a plus.
• Excellent written and oral communication skills.
• Ability to write correspondence in a professional manner.
• Ability to effectively present information in one-on-one and small group situations to customers, association affiliations, and other employees of the association.

• Lifting is occasionally required, up to 30lbs individually or 50lbs with assistance, when working with event and trade show materials.

Technical Competencies
• Microsoft Windows 10 and Office 2013; proficient in Word, Excel and Outlook.
• Experience working with Adobe InDesign or other graphic design software suite is preferred.
• Experience working with Multi-line phone system, FAX, copier, postage machine, and web-based services.
• Registration software experience is helpful.
