Job Description
Summary of Position
The Impact Project (TIP) is looking for an agile and process-oriented self-starter who thrives in a fast-paced environment. Not quite a start up, but not a fully idealized decades long operation either, to be successful at our organization you will need to enjoy initiating, working on, and completing dozens of tasks at once with a great attitude, follow-through, and a meticulous eye for detail. You enjoy all things budget, finance, and data, and weave this work into big picture organizational objectives and strategy.
As a pivotal member of the People & Operations Team, the Director of Operations will own the organization’s annual budgeting process, from design, establishing MOCHAs, implementation, and prioritizing collaboration across teams along the way. Additionally, the Director of Operations will own the day-to-day management of our financial and budgeting systems, ensuring we have accurate information to make quick spending decisions. The Director of Operations will also own the organization’s grants compliance and management function, which includes supervising the Grants Manager and our engagement with TIP’s fiscal sponsor, Hopewell Fund, and outside legal counsel.
The Director of Operations reports to the VP of People & Operations, and directly supervises the Grants Manager. The People & Operations Team is led by the VP of People & Operations, and includes the Director of Operations, Grants Manager, People & Culture Manager, and Senior Executive Assistant. Although the role is primarily budgeting and finance focused, the Director of Operations will also provide team and project management support to the VP of People & Operations as needed, in the areas of IT/cybersecurity, hiring, human resources, and culture. The position is full time and considered exempt for overtime purposes.
What You’ll Do
Finance and Budget (60%)
- Own and facilitate the annual budget process from inception to completion, which includes building out timeline, collaborator roles and responsibilities, and working with program staff to translate priorities for the next year into budgets for approval.
- Manage regular budget changes throughout the year with budget-owners and communicate updates and financial progress with TIP leadership.
- Ensure all annual and monthly finance data entry is accurate, timely, and accessible to all interested parties, and prepare periodic department budget reports to budget-owners and VPs.
- Support budget-owners in training and skills-development on the budget planning process and how to navigate their budget and budget tools throughout the year. This includes training, translating, reiterating, and coaching staff on all things budget and involving them deeply throughout the process and engaging throughout the year.
- Own regular donor financial reporting inputs and connect financial reports to larger organizational objectives and strategy.
- Ensure budget and financial quality controls and systems, and all transactions comply with state and federal laws.
Grants and Contracts (15%)
- Manage the grant making and contracts processes, ensuring that proposed dollars are within budget, legally compliant, and with the most flexibility in mind to state programs, through direct supervision of the Grants Manager.
- Own grants and contracts legal compliance as an in-house expert by fielding staff questions and liaising between legal and fiscal sponsor teams.
- Support the ongoing education and comfort with grant and contract legal compliance across TIP, and ensure that internal compliance resources are current and accessible.
- Participate in all programmatic calls with legal counsel and ensure guidance is incorporated into all internal compliance resources.
Manage, Coach, & Inspire Staff (15%)
- Managed staff: Grants Manager.
- Provide project management and department leadership support to the Vice President of People & Operations as needed.
- Set annual direct report goals, administer team member’s performance “lookbacks,” prioritize workflows to achieve goals, and calibrate as organizational needs evolve.
- Bring an equity and inclusion lens to your management, fostering feelings of respect, trust, and belonging across your team and within your department.
- Develop and implement your team’s growth and development plan.
- Regularly attend training and pursue continued education in supervisor skills and maintaining a harassment-free and inclusive workplace.
- Uphold TIP Community of Practice agreements with team members, and uphold TIP values in your work, your team members’ work, and our organizational commitment to diversity, equity, inclusion, and belonging (DEIB).
Human Resources & Culture (10%)
- In partnership with the VP of People & Operations, own the salary band development and research, and ensure budget tools are updated to reflect personnel projections and periodic changes. Maintain confidentiality during this process.
- Provide team and project management support to the VP of People & Operations as needed, in the areas of IT/cybersecurity, human resources, hiring, and culture.
Qualifications
Who You Are
You have proven experience owning budget planning and financial systems in a fast-moving environment. You are calm under pressure, ensure financial data quality control, and enjoy the development of and maintaining internal systems and processes. You have a firm understanding of the role of 501(c)3 and 501(c)(4) organizations and the legal compliance rules that guide their activities. You will not only be proficient at your own responsibilities, but able to effectively train and guide others in a way that reflects TIP’s core values. You are also a team-player, and willing to pitch in to provide team and project management support to the VP of People & Operations. In addition, to be successful at this job you will excel in these areas:
- Budget Leadership and Financial Management - This is not an entry level position. You have experience in organizational budget leadership (owning an organization’s annual budget process) and financial management (ensuring quality control and access to accurate financial data).
- Team Management - You have strong experience as a supervisor, managing work to results and prioritize the professional development of your team.
- Detail-oriented and organized - You get the details right and can easily keep track of tasks and work streams when there are many moving parts. You are comfortable with spreadsheets and Google Suite software.
- Systems-oriented problem solver - You enjoy setting up systems to bring order to the chaos and are constantly thinking of ways to improve them. Your natural curiosity helps you find multiple solutions or paths forward within our compliance framework and helps you engage bright minds in answering challenging questions.
- Effective ambassador and trainer - Your excellent presentation and interpersonal skills help you quickly become a trusted advisor to both internal and external players. Your strong writing and interpersonal skills allow you to communicate in a supportive, efficient, and diplomatic way.

What Else You Should Know
The Impact Project operates in a 100% remote work environment. Candidates who live in one of our states or the Washington, DC area are preferred. During non-COVID-19 times, travel will fluctuate, but is likely to be monthly or bimonthly at least initially.
The hiring range for this position is $110,000 - $122,500 depending on experience. We offer a top notch benefits package. We pay 100% of medical, dental, and vision premiums for you and your spouse/partner and dependents and offer an HRA to cover your deductible. We contribute 3% toward your retirement even if you don’t put in a dime and also match up to 3% of what you contribute to your 401k. We offer three weeks of vacation each year, two weeks of personal leave, nine paid holidays, and four additional floating holidays. We offer individual budgets for professional development, monthly cell phone reimbursement, and a basic home office setup.
