Program Assistant, US - Remote, Flexible Location

Imaginable Futures is seeking a Program Assistant to join the US team. The Program Assistant will be responsible for providing administrative and program support to the US team, which includes a wide range of activities as outlined below.  The US team’s strategy focuses on increasing postsecondary success for parents and improving early learning experiences for young children. In this role you will be supporting important systems change strategies. The person in this role will also co-lead and execute activities related to Imaginable Future's team culture. This dynamic position requires the ability to think critically, work creatively, effectively execute tasks, and work collaboratively with many different internal and external stakeholders.

Here’s more about what you’ll do: 

US Team Support

  • Provide strategic administration and oversight for two Venture Partner calendars, schedules internal and external meetings, and partners collaboratively with the Venture Partners to ensure their days and weeks are organized effectively and to their personal preferences.
  • As needed, may assist in scheduling support for other team members.
  • Plan, coordinate, schedule, and arrange travel, including flights, hotels, and rental car for Venture Partners and other team members as needed.
  • Assist with expense reports for Venture Partners.
  • Schedule and manage team meeting agendas, prepare meeting materials. Take meeting notes and shares as appropriate.
  • Support the team’s organizational efforts, including managing file drives, folders, and documents, creating new spreadsheets and documents, etc. 
  • Complete data entry and organization tasks as needed to support program-related activities.
  • Assist with contract start-to-end process and execution, and invoice submissions to include data entry and filing in Salesforce CRM
  • Execute verbal and written communication with various vendors, partners, and global colleagues
  • Play a key role with in-person and virtual event planning, including large-scale convenings.

Firm Wide Culture Activities Support

  • Coordinates gifts to both internal and external parties.
  • Plan for staff celebration milestones (e.g., birthdays, weddings, etc.)
  • Support planning for culture and team building activities.
  • Completes other ad hoc administrative tasks as assigned.

  • Experience working in a distributed organization in an autonomous, fast paced environment.
  • Extensive experience providing a high standard of operational and administrative support to senior managers, managing upwards as needed to ensure tasks and responsibilities are effectively prioritized.
  • Project and event management experience.
  • Takes initiative to proactively solve problems within the realm of the role's job scope.
  • Extensive experience and proficiency using email, internet, web and mobile applications and shared documentation systems.
  • Self-driven, results oriented with a positive outlook and a kind demeanor.
  • Strong individual contributor but equally able to work in a team environment.
  • Comfort with up to 10-15% domestic and international travel

Compensation: The estimated annual salary for this role is $87,000, however the exact salary will vary, based on location and experience.
