Job Details

GOAL:  Reporting to the Controller, the AP Accountant will have full ownership of the Accounts Payable Function of the finance team

REPORTS TO:  Controller

EMPLOYMENT STATUS: Full-time, Exempt

SPECIFIC DUTIES:

Duties of the AP Accountant include, but are not limited to the following:

ACCOUNTS PAYABLE –

  • Auditing and processing bills and expense reports.
  • Reconciling General Ledger accounts
  • Processing Payments, including weekly payments and ad hoc checks.
  • Set up and maintain vendor files, including W-9 collection, proper 1099 classification and annual1099 filing.
  • Maintain digital filing system
  • Track and follow up on recurring bills.
  • Respond to internal and external AP related inquiries
  • Enforce policies, including ensuring proper documentation is collected.

GENERAL LEDGER –

  • Have ownership over AP subledger and related GL accounts.
  • Reconcile expense accounts monthly
  • Perform monthly close tasks.

FINANCIAL REPORTING –

  • Perform monthly variance comments to Controller for monthly reporting package.

POLICIES AND PROCEDURES/INTERNAL CONTROLS –

  • Review and update finance policies and procedures under direction of Controller and CFO.
  • Ensure accuracy and compliance with Generally Accepted Accounting Principles (GAAP) and CISA accounting policies and procedures.
  • Provide training to onboarding staff and provide ongoing training and support to all staff related to Finance policies.

AUDIT AND TAX FILINGS –

  • Assist in preparing year-end audit schedules and providing support.
  • Work closely with the Controller and CFO to assist with the year-end audit process.

OTHER –

  • Maintain Central Office petty cash.
  • Maintain usage of office in-house credit cards and membership accounts.
  • Travel offsite to pick up checks or other documents, as needed.
  • Provide continuous improvement of operating efficiencies.
  • Attend required CISA meetings, training, etc.

QUALIFICATIONS:

  • Bachelor’s Degree in related field AND 3 years of AP experience, OR at least three (4) years’ experience in AP Accounting
  • Has keen attention to detail and performs due diligence when processing transactions. Holds oneself to high work- quality standards.
  • Experience processing high volume of transactions.
  • Highly proficient in computer and cloud software, including Accounting and expense management systems
  • Highly proficient in Excel.
  • Is able to anticipate, communicate, and resolve challenges.
  • Excellent written and verbal communication skills. Proactive communicator. Is customer service focused.
  • Able to be autonomous and have ownership of one’s own deliverables, meet deadlines, prioritize effectively, and perform as a productive team member.
  • Ability to maintain integrity and confidentiality.

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is regularly required to sit. The employee must occasionally lift and/or move up to 30 pounds.

HOURS:

Work hours are 9:00 am - 5:30 pm Mon-Fri; however, it is expected that this person will work a flexible schedule.
