Friends of the Children – SF Bay Area employs a simple yet radical mentoring model to walk beside children who face the biggest inequities as they break the generational cycle of poverty.   

We systematically identify and enroll children who face the biggest systemic barriers. All our children identify as people of color, qualify for free or reduced lunches, and have experienced intense traumas – like multi-generational poverty, domestic violence, family substance abuse and/or homelessness – by the time they enter kindergarten.      

We pair each child with a salaried, professional – not a volunteer – mentor. Removing mentoring from the volunteer realm is key to providing our children with the support they deserve.  

We enroll each child when they are in kindergarten and commit to walk beside them until they graduate from high school -- 12+ years no matter what!  

We apply a rigorous, evidence-based approach at every stage, monitoring each child's progress and adjusting our approach accordingly.

Friends of the Children - SF Bay Area is part of a nationwide network, which was founded nearly 30 years ago and has grown to include 25 locations nationwide. We opened our doors in San Francisco in 2017. We identify and enroll a new class of underserved youth in kindergarten or first grade from four San Francisco partner schools.  By this Spring, we will be serving 125 children – well on the way to our goal of serving 400.

Position Description  

Friends of the Children – SF Bay Area (Friends – SF) seeks an onsite Operations Coordinator to help our growing organization best serve our children, families, staff, and partners. A successful Operations Coordinator is highly organized, flexible, reliable, proactive, with strong verbal and written communications skills, the ability to work effectively independently and as part of a team and motivated by the opportunity to help children and families break the generational cycle of poverty.  

The Operations Coordinator supports the entire team by coordinating office, site, and operations functions in several areas including facilities management, IT, HR, finance, general administration, and volunteer coordination. In addition, this role provides administrative and logistical support to the Program Leadership Team and the Executive Director.  The position reports to the Director of Operations. 

This is an onsite position with a work schedule of Tuesday - Saturday from 10:00am-6:00pm

Responsibilities include but are not limited to: 

  • Serving as a consistent presence and first point of contact for visitors, including youth, families, donors, staff, vendors, maintenance workers, etc.)  
  • Site coordination - overseeing all facilities and equipment needs by proactively addressing issues and concerns and serving as designated second adult during onsite youth outings  
  • Maintaining inventory and ordering supplies, keeping facilities clean and organized, managing trash and recyclables, picking up supplies and driving company van as needed 
  • Retrieving, organizing and coordinating all incoming and outgoing deliveries including in-kind donations, and managing in-kind donor partnerships  
  • Attending meetings, taking notes and following up on action items as necessary 
  • Assisting with financial reporting, AP & AR and documentation as needed 
  • Serving as primary liaison to IT vendor and supporting IT and equipment needs of staff 
  • Overseeing maintenance of company owned and leased vehicles 
  • Program and community event and meeting coordination including large mentor/youth group outings, family engagement events, team meetings and school site meetings 
  • Organizing and preparing onboarding and training materials for new staff members, tracking training progress and annual staff re-certification and documentation requirements   
  • Coordinating and assisting with regular Saturday food deliveries, which includes making deliveries to families and managing volunteers 
  • Creating and maintaining data and documents as needed for student and staff paperwork, school sites, vendors and volunteers 
  • Researching options, and presenting recommendations through spreadsheets and other summary documentation to meet new and recurring needs 
  • Drafting professional correspondence (emails, reports, spreadsheets, etc.) to staff, partners, vendors, volunteers and others and proactively following up as needed to get results  
  • Maintaining and overseeing updates to shared document libraries using Teams, SharePoint, OneDrive and other programs as needed 

Required Skills and Experience  

The ideal candidate will welcome the dynamic challenges of a growing, evolving, learning organization, and will have:  

  • Minimum of an AA degree, BA strongly preferred 
  • At least three years of relevant non-profit experience in office, operations, project, or program support, coordination or management 
  • Ability to work effectively with staff, children, families, partners, donors, board members and outside parties from a variety of diverse backgrounds 
  • Outstanding project management, organizational and time management skills 
  • Mission driven growth mindset, and commitment to lifelong learning 
  • Commitment to building a culture of mutual accountability, inclusiveness, and respect 
  • Willingness to propose and implement new ideas, learn from mistakes, receive feedback, and give feedback to others 
  • Ability to plan and implement multiple projects concurrently, meet deadlines and proactively follow up as required 
  • Ability to be flexible and gracefully adjust to last minute needs and shifting priorities 
  • Positive, team-oriented attitude and a sense of humor  
  • Ability to take initiative, anticipate and resolve issues, ask questions, proactively communicate when clarification is needed, participate in problem solving and (“manage up”) 
  • Prior experience developing standard operating procedures and promoting process improvement and strong written and verbal communication skills 
  • Excellent MS Office 365 skills including document management, Outlook Email and Calendar, Teams, Excel, and Word required   
  • Ability to lift items weighing up to 30 lbs. on a regular basis without assistance 
  • Work requires the following motions: bending, twisting, squatting, and reaching 
  • Physical ability to perform tasks that may require prolonged standing, sitting, and carrying items  

Other Requirements: 

  • Must pass pre-employment drug screening 
  • Must have safe driving record and valid driver's license 
  • Must pass fingerprint and background checks

Salary range for this position is  60,000 - 70,000/year depending on depth of experience, education, and skill set.
