Why we need you:
CSH is seeking a creative, detail-oriented self-motivated administrative professional with knowledge of Microsoft to join our Administrative team. This role performs many administrative, programmatic, and operational activities supporting CSH (Corporation for Supportive Housing). Applicants must live near a major airport. This position will be hybrid or remote based on location. 

What you will do:

Administrative Support to All Assigned Teams

  • Provide general administrative support to all assigned teams as the go-to first resource for help and support with administrative questions or support needs.
  • Support teams in managing files vendors, consultant contracts, and vendor bills.
  • Assist staff with preparing for in-person and virtual meetings/training by troubleshooting, photocopying, managing Zoom/Teams, shipping, ordering supplies, ordering food, and other duties as requested.
  • Provide 1:1 or team assistance on CSH systems, policies, and procedures.
  • Facilitate vendor payments, support the program consultant/subcontracting process, work with Finance to update or create forms, maintain files, manage invoices, and provide support to use software applications such as DocuSign, CSH’s Enterprise Resource Management (NetSuite), and other IT infrastructure.
  • Assist teams with financial compliance including completing expense reports, contractor and subcontractor support, and tracking check requests and disbursements.
  • Provide support to assigned teams on PLE (Persons with Lived Experience) compensation including assisting with W9s, processing payments, and coordinating final disbursements.
  • Provide inbox management support triaging requests such as replying to info@csh.org.
  • Assist with project reporting, data entry, and maintenance of information in CSH or external databases.
  • Assist with project-specific tasks as requested. This may include supporting data collection projects, producing training or webinars, editing materials, creating graphs and charts, online research, or reporting.

Systems and Technology

  • Be a “super-user” on core software systems to help troubleshoot, train, support, and assist staff with software and hardware support.
  • Set-up and coordinate telephone, videoconferences, Zoom/Team meetings or training including registration, logistics, live support, and follow-up.
  • Act as a SharePoint site editor supporting teams in managing files and updating the sites.

Event Planning and Logistics

  • Support teams with all meeting or event logistics from start to finish including invitations, registration, hotel and travel logistics, food, speakers, vendors, audiovisual, materials, supplies, and onsite logistics.
  • Provide on-site support as needed for specific events or training.
  • Support teams in understanding CSH processes, including hotel contract review, travel, etc.

For positions based in an office location

  • Manage the assigned physical office including managing the front desk, working with the CFO (Chief Financial Officer) on lease issues, reporting and addressing office maintenance issues, maintaining office vendors, maintaining an office manual, managing supplies, equipment, deliveries and mail, and maintenance needs including all meeting room setup and equipment, and providing on-site support when needed.
  • Support staff assigned to the office location by maintaining the meeting room calendars, being on-site for all in-person events that require assistance, and ensuring all workstations are functional.
  • In coordination with headquarters staff manage office-based equipment purchases/leases and vendor relationships, maintenance of the computer network, phone system, and other office systems.

Specifically, we are seeking:

  • Minimum 3 years of administrative or office management experience.
  • Demonstrated proficiency and acumen in various software applications including Microsoft environment using Word, Access, Excel and Outlook, PowerPoint. Experience using databases or other tools like NetSuite, DocuSign, SharePoint, or Zoom a plus.
  • Excellent interpersonal, communication and organization skills, including ability to communicate with various stakeholders including people of various races and ethnicities.
  • With guidance from your supervisor and growing independence, demonstrate an ability to take initiative, effectively prioritize multiple tasks in a fast-paced environment.
  • Experience incorporating the perspectives of multiple communities, including communities of color, in the consideration of impacts and outcomes of a decision-making process.
  • Must be able to maintain the confidentiality of sensitive materials and information.
  • CSH uses a Microsoft Office environment. Proficiency is required or a commitment to self-learn and achieve proficiency upon hire.
  • Candidates seeking to work remotely, or hybrid must provide their own access to a secure high-speed internet signal (preferably hard-wired) at a capacity sufficient to support video, web, and email processing simultaneously based on their personal work environment. This is typically 100Mb and above.

Compensation:
CSH offers generous benefits, opportunities for professional growth, and competitive salaries based on geographic location.  Our range for the Administrative Coordinator is as follows:

  • Highest geography (E.G. New York City, Bay Area, Seattle) $56,000 - $70,000 
  • Mid-range geography (E.G. Los Angeles, Chicago, Denver) $51,000 - $63,000
  • Lower mid-range geography (E.G. Minneapolis, Portland, Las Vegas) $48,000 - $60,000
  • Low-range geography (E.G. Indianapolis, Columbus, Richmond) $44,000 - $55,000

Our ranges are broad, and it is customary for candidates to join CSH at the lower half of the range to leave room for growth, learning, and development in the role and range. It is uncommon for starting salaries to fall above the mid-point. We negotiate actual salaries with final candidates based on their exact location, experience in similar roles, and expertise related to the qualifications.
