Pacific Foundation Services, LLC (PFS) is a professional services firm that manages over 42 independent family foundations. PFS is looking for a highly skilled Operations Director to join the PFS team. The Operations Director is responsible for all operational activities of PFS, including technology and facilities. The Operations Director is responsible for ensuring smooth operation of administrative systems, coordination between PFS offices, and adequate and safe work environments for all employees. The Operations Director reviews, analyzes and evaluates business procedures and workflow on an ongoing basis to identity opportunities for improvement. The Operations Director supervises the Office and Operations Manager. As a critical member of the PFS team, regular attendance in the PFS offices is an essential function of this job. The position is full-time, exempt, and reports to the Vice President of Finance & Human Resources.
Principal Responsibilities:
- Supervise Office and Operations Manager.
- Responsible for training/continuing education, as well as monitoring/evaluating performance;
- Develop, implement and maintain policies, procedures, and systems to ensure efficient operations;
- Manage and oversee facilities, including partnering with Office and Operations Manager to ensure PFS offices in San Francisco, Palo Alto, and Menlo Park are functioning smoothly;
- Manage the relationship with managed service provider for IT and IT projects to ensure that staff have the technological tools and training they need to work effectively in a hybrid work environment;
- Take a leadership role in standardizing uses of technology across the organization and ensuring staff have adequate training in all technologies used;
- Ensure that staff have easy access to the information they need, including managing organization of files and other resources for ease of access;
- Take a leadership role in integrating PFS values with operational work including moving offices toward more “green” operational practices;
- Coordinate website upgrades and maintenance with Communications Manager;
- Plan and implement annual budget for operations in accordance with organization’s financial objectives;
- Other duties as assigned.
Qualifications:
- At least six years nonprofit and/or foundation experience in operations or related role, including at least three years’ experience overseeing IT At least three years’ experience in supervising staff At least two years’ experience in developing and managing budgets
- Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders
- Flexible and self-starter, able to manage multiple projects at one time
- Excellent organizational and managerial skills; ability to provide guidance to others
- Demonstrated experience in project management
- Extremely proficient in Microsoft Office Suite or Microsoft Office 365
- Ability to exercise good judgment and take initiative within broadly defined guidelines and complex procedures
- Ability to work on complex assignments where analysis of data requires evaluation of identifiable factors
- Personal qualities of integrity, credibility and discretion about confidential matters
- Demonstrated commitment to PFS values of generosity, respect, integrity, inclusion, commitment and humility.
Location:
PFS has offices in San Francisco, Palo Alto, and Santa Rosa. This position will be based in the San Francisco office. Following the initial training period, a hybrid work schedule will be available, however, it will be required to work in the San Francisco office a minimum of three days per week.
Salary Range: $113,500 - $120,000 DOE
PFS is committed to paying competitive wages. In an effort to increase equity, and because we know that salary negotiations tend to have an unfair bias, we do not participate in salary negotiations outside of this stated starting salary range.
