Duties and Responsibilities

  • Provide administrative assistance with emails, memos, task management, communications, invoices, reports and other correspondence
  • Create and maintain comprehensive and accurate records, files, documents, and reports
  • Manage calendar, schedule meetings, send reminders and organize catering when necessary
  • Answer calls in a polite and professional manner, take accurate messages, and manage voicemail
  • Welcome visitors and identify the purpose of their visit before directing them to the appropriate department 
  • Manage small events including mailers, silent auction, and committee meetings
  • Perform  bookkeeping duties, reconciliations and other duties as assigned

Skills and Qualifications

  • Ability to meet deadlines in a timely manner
  • 2-3 years of administrative assistant experience
  • Excellent verbal and written communication skills
  • Strong organizational skills and ability to multitask  
  • Problem-solving and decision making skills
  • Ability to act as gatekeeper and escalate relevant information to executives as needed
  • Ability to work effectively with minimal supervision
  • Strong interpersonal skills
  • Ability to treat confidential information with appropriate discretion
  • Exceptional attention to detail
  • Advanced proficiency with Microsoft Office Suite

Preferred skills

  • Experience working with Salesforce and Blackbaud
  • Experience working with volunteers, non-profits, and community-based organizations 
  • Ability to work independently and as part of a team 
  • Experience working with people, including children, of diverse backgrounds and cultures 
  • Experience in the areas of early childhood education and youth development is considered a plus 
  • Ability to work flexible hours 
  • Bilingual
