Administrative Assistant
Job Description
Reporting to senior management, the administrative assistant will perform a range of administrative and office support functions to support the efficient operation of the organization. The administrative assistant will directly contribute to increasing YWCA’s capacity to eliminate racism and empower women, stand up for social justice, help families and strengthen communities.
Duties:
- Answer incoming phone calls and written correspondence, providing prompt responses and forwarding to appropriate staff member where necessary Perform general clerical duties including drafting of correspondence, reports, filing, photocopying, emailing etc. Prepare expense reports, requisitions for purchases, financial system data entry. Develop and maintain databases, records management systems, and social media. Process requests for information and data and follow up with appropriate constituent Schedule and coordinate meetings, appointments and travel arrangements for staff members Analyze operating practices and implement changes as needed. Order and maintain office supplies and arrange for office equipment maintenance. Assist the CEO in the management and the administration of contracts, events and projects Create, maintain and update various presentations, spreadsheets, reports and documents. Provide effective communication and act as liaison between administration and organization staff (changes, procedures, postings, etc.) All other duties and responsibilities as assigned.
Required skills, abilities, and competencies:
- Must have proficient technology skills with MS Office, Word, Excel experience. Salesforce experience preferred. Positive attitude (motivation, team player). Effective Communicator – verbal and written Appearance (professional, clean, neat, meets company standards). Knowledge of office procedures. Professionalism and leadership. Ability to handle confidential information
Qualifications:
Associate's Degree in business, or equivalent, and three years working experience preferred. Other combinations of education and experience will be considered.
Working Conditions:
Candidate will work in a highly visible area. Work station in a moderate traffic area.
