There is an exciting job opportunity at Airport Marina Counseling Service (AMCS) for an Executive Assistant!

About AMCS: AMCS serves individuals, children and their families, and couples in weekly sessions and the clients represent the diversity of the area. Most clients have no medical insurance and fees for service are set on a sliding scale basis and depend on the client’s ability to pay.

AMCS is here to help people in need. Fees for services are charged on an ability-to-pay basis and the agency does not intend to be self-supporting from client fees. AMCS operates primarily from grants, donations, AMCS’ fundraising efforts and the support of the Westchester Mental Health Guild.

Training is provided to interns at the highest level of professional quality.

Our mission is two-fold: to provide community-based accessible mental health services and provide quality training to therapists.

Position Description The Executive Assistant is a full-time position, hybrid work-schedule, reporting to the Chief Executive Officer (CEO). The Executive Assistant is responsible for organizing, implementing, and expanding the office of the CEO and managing of the CEO’s calendar and setting appointments. This person will coordinate with staff and volunteers, maintain records in the development database, and assist with correspondence to sponsors and donors with the direction of the CEO.

Duties include, but are not limited to:

  • Provide administrative support, including, but not limited to, writing, and editing e-mails,

drafting memos, and preparing communications on the executive’s behalf.

  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
  • Correspond with AMCS Board of Directors, committees, and volunteers
  • Manage and oversee accurate recording of event information in database, file system, and/or records.
  • Create, update, and revise as needed
  • Take meeting minutes when necessary
  • Update AMCS constant contact communications
  • Coordinate and support community events
  • Assist the Development Director in the lead up to the May fundraising event with tracking sponsors and attendees to the event, along with other data entry support.
  • Assist the Development Director the day of the May fundraiser with the event from start to finish.
  • Manage AMCS social media accounts
  • Perform all other responsibilities and projects as assigned by Chief Executive Officer

Requirements

  • College education and two or more years of relevant experience required; the right experience can substitute for education
  • Non-profit experience a big plus
  • Demonstrated time management skills with the ability to handle multiple tasks, establish priorities and work in a fast-paced environment
  • Strong attention to detail and organizing, setting priorities
  • Experience with computer systems and databases
  • Ability to develop and prepare presentations, reports, and business correspondence
  • Team player that has the ability to interface with all levels of staff and volunteers
  • Excellent interpersonal skills to develop and maintain relationships
  • Ability to work and make judgments independently and take initiative
  • Be a disciplined self-starter, creative and resourceful
  • Active listening, analytical, and problem-solving skills
  • Ability to work some evenings and weekends
  • Strong writing and communication skills
  • Proficiency in Microsoft Office, Microsoft Excel and database management preferred
  • Strong customer relations skills and ability to handle multiple deadlines
  • Ability to drive and travel locally occasionally
  • Flexible schedule including some evenings and weekends
