Business & Contracts Specialist

Callanwolde is a community arts center and renowned venue located on a historic 12-acre estate in the heart of metro Atlanta. Our mission is to provide the Atlanta community with premier, accessible arts education, especially to the underserved, while promoting enjoyment of the arts at the historic and inspiring Callanwolde estate.

The Business & Contracts Specialist responsibilities include administering Callanwolde’s earned income programs, primarily wedding venue rentals. This position requires a high level of customer service and ability to think analytically. This position collaborates with all departments including programming, development, finance, and operations.

Position Description:

The Business & Contracts Specialist is directly responsible for the following:

  • Providing a high level of customer service for potential, existing, and former venue rental customers.
  • Completing and processing venue rental contracts.
  • Tracking payments and sending reminders in coordination with Finance.
  • Providing a comprehensive overview of our venue rental policies to prospective customers.
  • Managing the organization calendar.
  • Supporting planning and logistics for organization initiatives, including purchasing.
  • Analyzing logistical challenges and maintaining relevant communication with impacted parties.
  • Working with marketing to ensure information on the website is up-to-date.
  • Developing and managing relationships with outside vendors.
  • Maintaining the accuracy and integrity of databases by ensuring that all information is kept current and up to date.
  • Collaborating with the Operations Director and Finance Director to prepare annual budgets and projections.

This is a salaried, exempt position with an expected workweek of 40 hours. The anticipated schedule for this position is Monday- Friday from 9am- 5pm. This position is a hybrid schedule, and does require on-site work at the beautiful Callanwolde mansion and grounds 3 days a week most weeks. There is some evening and weekend work required.

Qualifications:

Education and Experience

  • Bachelor’s degree required.
  • Minimum of two years of experience and a demonstrated successful track record in business administration.

Knowledge, Skills, and Abilities

  • Proficient in Microsoft Office Suite, Quickbooks, Triple Seat, and related software.
  • Excellent analytical abilities that can be applied in aligning the organization’s objectives with available earned revenue opportunities.
  • Able to plan and execute logistical considerations.
  • Excellent communication, interpersonal and presentation skills and the ability to cultivate and maintain effective relationships with board members, donors, volunteers, and staff. Ability to passionately communicate Callanwolde’s mission, accomplishments and benefits of its work.
  • Proven ability to work effectively with a diverse group of individuals from various racial, cultural and ethnic backgrounds.
  • Strong attention to detail, excellent organizational skills and an ability to work well under pressure.
