Position Summary:

In coordination with the Senior Pastor, staff and lay members, the Office Administrator will support the ministries of St. John United Methodist Church by performing key administrative responsibilities.  The position will oversee the day-to-day activities in the church office. This individual will be the face of St. John both on the phone and in person for all who contact the church.  Building relationships with staff, lay members, vendors and those who use our facilities is critical. The Office Administrator will be responsible for communications products and services including newsletters and other print publications, Website, E-news and other online communications, master calendar scheduling and communication, coordination of facilities usage, management of service contracts and coordination of service work, scheduling and support of baptisms, weddings and funerals, accurate and timely input and output of church records, ordering of office/kitchen supplies and overall support of all staff members.

Reports to: Senior Pastor

Qualifications:

  • 1-2 years of technical school/college
  • Relevant work experience in a church or nonprofit organization
  • Strong organizational and problem-solving skills
  • Effective verbal and written communication and relationship-building skills
  • Ability to function well in a team environment, working collaboratively with others on a daily basis
  • Willingness to express the Christian mission of the church
  • Adherence to strict confidentiality policies
  • Proficiency in Microsoft Office Suite
  • Knowledge of/experience with ACS/Realm or similar software
  • Proficiency in/ability to learn Squarespace/WordPress and/or other web development tools
  • Social Media Marketing experience including Facebook, Instagram and YouTube

Essential Responsibilities:

  • Greet visitors to the office, answer questions, give needed assistance, and/or direct them to the proper staff person for assistance
  • Create and maintain the master calendar of all church activities and outside events, coordinate use of classrooms and facilities
  • Schedule baptisms, weddings, and funerals and provide all needed support:  create and produce bulletins, provide written directions to the church when requested, coordinate needs for facility use (stocking restrooms, schedule set-up and take-down/cleaning, proper climate control)
  • Keep church records as assigned, including records required by the Book of Discipline, and produce reports as requested (e.g. Charge Conference and End-of-Year Reports)
  • Update and maintain membership records on ACS/Realm, provide reports to lay leaders and staff as necessary
  • Produce church publications, including written and electronic (e.g. bulletin, newsletter, brochures, flyers, E-Blast, social media (Facebook, Twitter, Instagram)
  • Maintain accuracy and relevance of website through regular updates. 
  • Monitor church activities and update website accordingly
  • Recruit, schedule and oversee work of office volunteers
  • Monitor and order office supplies and kitchen supplies as needed.  Coordinate maintenance and repair of office equipment.  Manage relationships for office-related contracts (e.g. copier, telephone, IT, etc.)
  • Log checks received through the mail and from Sunday collections.
  • Provide support to all staff, including the senior pastor

Non-Essential Responsibilities:

  • Performs other duties to support the mission of the church as needed

Supervisory Responsibilities:  None

Financial Responsibilities:

Manages funds and other church assets i.e. supplies and equipment in a manner that is considered productive in the best interest of St. John and conforms with approved budgets for office and kitchen supplies and contractual agreements.  Log financial donations received weekly and provide to Financial Administrator and/or Finance Chairperson.
