DEVELOPMENT ASSOCIATE

 

Organization Summary: Oliver Scholars prepares high-achieving Black and Latinx students from underserved New York City communities for success at top independent schools and prestigious colleges. We provide crucial support for our Scholars so they can realize their full potential and ultimately give back to the city, the nation, and the world.


Position and Summary Reporting: Reporting to the Chief Development Officer (CDO), the Development Associate supports the daily donor cultivation, solicitation, and stewardship activities of the Development Department so that it can meet its philanthropic goals. S/he will work closely with the CDO, the DoD, the Senior Accountant, and other Development staff to implement Oliver Scholars’ fund development strategies. The Development Associate must have demonstrated donor database experience and a deep interest in and commitment to excellence in data management.

RESPONSIBILITIES: 

Database Management: Data Entry, Gift Processing, and Reporting

 

  • Manage the entry and acknowledgement process for all gifts in a timely and appropriate manner.
  • Support monthly gift reconciliation in conjunction with the Senior Accountant. Perform database administrative tasks including creating and updating records with Raiser’s Edge and running quality control reports to ensure accurate and complete records and integrity within RE.
  • Provide reports on giving activities, fundraising and campaign goals tracking, and other information as needed.
  • Build and manage tracking process for donor and prospect pipelines, including maintaining updated history of interactions with donors, prospects, Trustees, volunteers, alumni, and other key partners.

 

Event Support 

 

  • Provide administrative and logistical support as needed on all Development events. In collaboration with the Development team, support the designing and planning of fundraising, cultivation, and stewardship events (from idea conception to event execution which includes overseeing operational support and logistics, and assigning duties to other staff as needed), including Alumni-specific events.
  • Prepare materials for events in consultation with Development Leadership (invitations, programs, flyers etc.).
  • Under the guidance of the CDO, research and investigate venues for events; solicit multiple quotes and prepare overall cost analyses for each venue to recommend to CDO. With support of CDO, solicit and manage vendors related to special events.
  • Coordinate and support set-up and break-down at events. Manage, supervise, and provide support to volunteers for all events.
  • Record all attendance data for events and share with appropriate departments and internal committees.

Administrative and Logistical Support 

 

  • Provide support to the Chief Executive Officer and Chief Development Officer in donor cultivation, stewardship, and prospecting efforts. 
  • Assist in the collection and inventory of information, resources, and records in support of strategic fundraising activities and goals.
  • Draft biographical, financial, and philanthropic bios and briefings on donors, Trustees, and prospective donors in support of staff and volunteer cultivation, engagement and solicitation and events efforts.
  • Prepare and/or provide material such as agendas, information packets, and presentations for the CDO’s meetings and donor/prospect visits.
  • Prepare materials for internal meetings and events in consultation with the CDO and Director of Development.
  • Manage the maintenance of the CDO’s calendar: arrange for, schedule and confirm appointments.
  • Coordinate the supply and distribution of Oliver “swag” and donor packages. Provide administrative support to the Development team as needed.
  • Complete special projects as assigned by the CDO.

QUALIFICATIONS 

  • BA required. 
  • A commitment to the mission of Oliver Scholars. Minimum of 3 years of professional experience.
  • Experience with donor database software or CRM platform. (Oliver Scholars uses Raiser’s Edge; training on our system is available.)
  • Ability to handle sensitive information with discretion and good judgment.
  • Computer literacy, including extensive knowledge of Microsoft Office (Word, Excel, PowerPoint) and Google Suite.
  • Familiarity with social media channels, simple graphic design, and Canva is a plus.
  • Willing and able to work some evenings and weekends.
  • Excellent written and oral communications skills.
  • High level of professionalism with excellent interpersonal skills and ability to work closely with staff and volunteer leadership, as well as external partners.
