GENERAL RESPONSIBILITIES:

The Community Programs Coordinator is responsible for coordinating Hidden Villa’s weekend farm tours and specialty programs.  The Coordinator is responsible for supporting recruitment and retention of weekend volunteers for various Hidden Villa programs. This position assists with picnic site and facility rentals, selected special events, and general guest services team support including communications and logistics. 

Position Title: Community Programs Coordinator

Reports to: Community and Guest Services Director 

Exempt/Non-Exempt: Non-exempt, hourly

SPECIFIC RESPONSIBILITIES:

Weekend Programs 

  • Develop and present creative, engaging farm and nature-based programs to groups of children, families and adults for weekend experiences
  • Help train and coordinate the Program’s intern instructors on best practices of directed inquiry-based learning, group management of children, and curriculum
  • Help train and coordinate intern’s & volunteer instructor’s program evaluation strategies
  • Coordinate booking, scheduling, and staffing of all Farm Tours and weekend programs: calendar public farm tours, private group and corporate farm tours, weekend programs
  • Communicate with the public and program participants about Community Programs and farm open hours and operation
  • Work closely with the Programs Team and Community and Guest Services Director to maintain master calendar
  • Handle marketing efforts, registration and communications with registered families
  • Deliver farm tours as necessary (if Guide is needed). 

  • Develop new curriculum for Tours and specialty programs; revise and update existing Farm Tour Manual.

Volunteer Program 

  • Be responsible for recruitment, training, scheduling, and retention support of all weekend volunteers, including Volunteer Farm Tour Guides and Ambassadors.
  • Follow up on volunteer applications; evaluate volunteer fit, schedule “shadows” and training.
  • Provide tracking and annual reporting on volunteer hours
  • Write and send regular emails to volunteers. Collaborate with staff to write regular “What’s Happening on the Farm'' news and upcoming shift schedules
  • Organize volunteer gatherings, arranging for enrichment activities and speakers and refreshments
  • Provide on-going support for volunteer instructors in group management and curriculum 

Administration, Rental Support and Special Events

  • Serve as a break relief for the  gatekeeper and other weekend staff as needed
  • Provide group/guest care during booked stays, supervise group’s departure and complete after rental clean-up. 
  • Process cash, checks and credit card transactions
  • Support weekend special events such as: community celebrations and event rentals such as weddings and other life celebrations. Providing excellent customer service to all our guests.
  • Other duties as assigned 

Preferred Skills: 

  • Ability to exercise judgment in a position of responsibility and to work, at times, without direct supervision. 
  • Experience and comfort working with all ages of children and families, especially in outdoor education. 
  • Experience with program evaluation is a plus. 
  • Experience working with scheduling, training and retention of volunteers. 
  • Experience presenting in front of groups. 
  • Solid communication, customer service, and phone skills. 
  • Experience with or passion for learning and teaching about sustainable farming, farm animals, gardens, science, and nature. 
  • Proficient with Google suite 
  • Valid California driver’s license, free of any major infractions. 
  • Must be able to lift 25 pounds and be comfortable entering pens with farm animals. 

TERMS OF EMPLOYMENT:

This is a non-exempt position eligible for benefits, including health insurance and paid time off.  This position is scheduled for 40 hours/week working 8:30am – 5:00pm Wednesday through Sunday. The pay rate for this position is $26.00 per hour. Documentation establishing your right to work in the United States is required. All applicants will be required to do Live Scan fingerprinting before hire.  Hidden Villa is a non-smoking environment.
