SUMMARY OF POSITION

The Program Associate supports the development, implementation, and evaluation of employment and training models across the Workforce Innovations Team’s (WIT’s) program areas. They will act as a primary resource for data and information related to WIT’s work and will contribute to the project management, business development, and administrative functions of the team.

Outstanding skills in communication, project planning, data collection, and digital literacy are essential for success in this role.

POSITION RESPONSIBILITIES

  • Provide project planning, management, and implementation support, including:
    • Organize and document project planning efforts, including maintaining and communicating project timelines and deadlines across the team.
    • Contribute to the development of project deliverables with direction from WIT staff. Coordinate logistics and scheduling with external partners.
    • Coordinate logistics and scheduling for WIT project meetings. Maintain internal documents and project folders.
    • Lead data collection efforts in line with established evaluation plans.
    • With the guidance of WIT staff, help produce programmatic summary reports that communicate, among other items, milestones, lessons learned, opportunities, challenges, and recommendations related to WIT’s practice work.
  • Support WIT’s online facilitation engagements by providing support and technical assistance to facilitators and participants on Zoom and/or Microsoft Teams. Help manage and maintain PHI’s learning management system (LMS); provide administrative and technical assistance to support training delivery through the LMS. Support business development efforts by drafting scopes of work for new WIT projects and lead contracting process with external partners, consultants, and subject matter experts in partnership with PHI’s Finance department. Maintain and manage PHI’s online curricula library and contribute to ongoing efforts to catalogue PHI’s curricula and training programs.
  • Contribute to the development of PHI materials, products, and/or publications, including copyediting documents within WIT’s quality assurance processes. Contribute to the compilation and development of WIT’s monthly and quarterly progress reports and annual strategic plan.   Act as WIT’s primary point of contact for PHI staff requesting programmatic data or status updates. Work cross-functionally as directed with the Policy and Research and Evaluation teams to identify and contribute to opportunities for collaboration in support of PHI’s strategic impact aims.

QUALIFICATIONS

  • Three or more years’ experience supporting project planning, development, and implementation efforts.
  • Strong self-management and planning skills with a high level of attention to detail.
  • Ability to prioritize tasks and act proactively to ensure goals are achieved.
  • Excellent communication skills - both oral and written.
  • Ability to work under pressure and adapt to different styles of work.
  • Excellent administrative skills and an ability to support complex logistical needs.
  • Skilled in Microsoft Office (Word, Excel, PowerPoint, Teams, Outlook).
  • Skilled in the administrative functions of online meeting platforms like Zoom.
  • Experience in healthcare and/or workforce development preferred. Familiarity with LMS administration preferred.

REPORTING RELATIONSHIP

The position reports to PHI’s Vice President of Workforce Innovations.
