The Special Events and Fundraising Associate has managerial and administrative oversight of a variety of events including but not limited to monthly membership cultural events (NYC), quarterly openings for exhibitions (Rosendale), donor cultivation events (NYC & Rosendale), the Chili Bowl Fest fundraiser (Rosendale), Artist’s Book Fair (Rosendale), and the hybrid onsite/virtual annual benefit. This position requires a person who enjoys social events with constituents, has attention to and appreciation of detail management, and has excellent interpersonal and communication skills. The ideal candidate will know the NYC area and be willing to commute to between NYC and Rosendale. The Special Events and Fundraising Associate reports directly to the Executive Director.
RESPONSIBILITIES
EVENT ORGANIZING, PLANNING, & IMPLEMENTATION
- Organize and participate in staff meetings and strategy sessions for all events
- Develop detailed timelines and pre-event action plans
- Work with marketing team to design compelling material
- Manage day of event logistics from set-up to breakdown, registration, staffing, catering, audio-visual, décor, seating and live program
- Manage communication with external service providers including event space, caterers, designers, producers, printers, and mailings
- Facilitate outreach for all sponsorships and in-kind donations
- Draft solicitation letters, invitations and program copy
- Manage guest post-event follow up
- Assess and evaluate events and identify opportunities to improve results
- Maintain special event records in database (Salesforce)
- Develop and implement fundraising strategies to further increase revenue associated with special events
FINANCIAL MANAGEMENT
- Assess and evaluate events and identify opportunities to improve results
- Manage expenses to maximize event quality and fundraising returns
- Participate in the creation of financial reports
VOLUNTEER MANAGEMENT
- Recruit and coordinate community volunteers
- Develop and refine job descriptions for all volunteers
PHYSICAL DUTIES
- Limited physical effort is required
- Lifting up to 40 lbs is required
REQUIREMENTS
- Outstanding interpersonal and communication skills
- Strong organizational and planning skills
- Excellent written skills
- Proficient in Microsoft and Google suites
- Working knowledge of WSW’s artistic disciplines
- Familiarity with Salesforce is preferred
- Requires travel within NYC and the Hudson Valley-If candidate lives in the 5 boroughs, transportation costs to Rosendale are provided. If candidate lives in Rosendale, transportation costs to and within NYC are provided.
- Must be able to work 3-days per week. Flex time is available when evening events are required.
- This is not a remote position.
SALARY
$30,000-$40,000 (part time employment)
