SUMMARY

The International Society of Arboriculture (ISA) is a non-profit membership organization that serves the needs of tree care professionals and promotes the profession of arboriculture around the world.  ISA is known as the industry authority on research, education, and professional development.  Each role in the organization plays an important part in delivering excellent member benefits and customer service. 

 

 

 

The structure of the HR and Compliance Services Department entails HR and Recruiting, Internal Policy, Office Administration, Compliance, and IT.

The HR and Systems Manager plays a key role in managing HR and IT Systems as well as the management of our IT vendors and corresponding projects.  

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Understands ISA’s Vision Statement and adheres to ISA staff core values. Receives, sorts, and forwards’ incoming mail. Manages outbound postage metering and delivery to outgoing mail. Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.). Submits Building and IT Work Requests as needed. Assists with Internal Safety Committee. Assist with break room upkeep (loading/unloading dishwasher-wiping tables as needed, etc.). Special Projects and other duties as assigned.

Human Resources Administration and Support:

  • Assists with recruiting process System Administrator and key user of the Applicant Tracking System (currently Frontline) Onboarding new team members. System Administrator and key user of the HRIS system (currently Paylocity) for employee recordkeeping:
  • Research and configuration of new functionality as needed
  • Launch of onboarding task
  • Communication and follow up with vendor on support requests
  • Employee Record Maintenance
  • Employee Self-Service Portal Maintenance
  • Providing technical support to end users
  • Create and deliver payroll batches to Director of Financial Services for final release in absence of Director of HR and Compliance Services

Tracking various employee information including but not limited to training, birthdays/anniversaries, key control log, and assessment data.  This includes development of communication around this data in various mediums.   ISA Insider (in conjunction with Receptionist role)

  • Assist with Benefits Administration efforts by providing administrative support to employees, benefits administrator, and vendors.
  • Work with HR and Compliance Services Director to develop a fully compliant safety program. 
  • Provides research, analytical, and technical support for a variety of human resource projects.  Oversight of Cristo Rey Corporate Work Study interns. Assist with ordering of office supplies and management of office vendors and work orders. 

Policy and Process Documentation Management

  • Administrator of document management system to maintain, provide a central repository, and manage version control of the association’s policy and procedures. Reviews and recommends improvements to the document management system to improve ease of use and document retrieval.  Assist the Compliance Services Manager when needed by supporting the Certification department with the maintenance of documentation required for ANSI certification. Coordinates information gathering for external audits or conducts internal audits of department procedures to ensure accuracy of written documentation.   Informs appropriate stakeholders when policy or process changes are being made.  Offers support to the process and policy owners with:
  • Development of process documentation where none exists.
  • Modification and revision of documented processes that have been improved or changed.

Supervisory Responsibilities

Assist with corporate work study interns as needed.

Education and/or Experience    

Position requires bachelor’s degree in related field and a combination of 3 or more years of relevant work experience in HR, Systems Administration and Policy, and/or HRIS. Additional IT related coursework from a two- or four-year college is preferred.

     Language Skills

  • Fluent in English, both written and verbal. Fluency in additional languages is a plus
  • Ability to write reports, policies, procedures, recommendations, and correspondence.  Ability to read, analyze, and interpret general business documents, professional journals, technical procedures, legal documents, or governmental regulations. Ability to effectively present information in one-on-one and group situations to customers, clients, and employees of the organization.

          Decision Making/Reasoning Ability

  • Ability to apply principles of logical or practical thinking to a range of intellectual and everyday problems.  Ability to effectively prioritize tasks in multiple areas of discipline. Ability to collect, analyze and interpret data to develop charts, graphs, and process maps. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Additional Competencies

  • Strong organizational skills with attention to detail. Ability to maintain strictest confidentiality.

  • Must be able to remain in a stationary position 80% of the time. Moves about inside the office to access file cabinets, office machinery, etc. Regularly operates a computer and other office productivity machinery such as calculator, copy machine, and computer printer. Frequently communicates with internal and external customers. This position requires occasional lifting, under 25 lbs.

  • Working conditions are normal for an office environment. The noise level in the work environment is usually quiet to moderate.
