Position Title:  Administrative Assistant

FLSA Classification: Non-Exempt, Non-Instructional Staff

Reports To: Lower School (LS) Principal and Director of Language,

Literacy, & Assistive Technology (DoLLA)

School Profile: The Howard School educates students with language-based learning disabilities and learning differences through instruction designed to complement and address each student’s individual needs, and to help each student understand and advocate for his or her own learning process. The curriculum focuses on depth of understanding to make learning meaningful and therefore, maximize educational success.

Position Purpose: To provide administrative support to the Lower School and DoLLA. To support the work of the Director of DoLLA, LS Principal and of the faculty, including contact with students, parents and organizing student records and reporting.

Essential Functions:

  • Establishes relationships with students and takes steps to be involved (e.g., mentors, LS Mentions), knows pertinent information on families and students.
  • Perform administrative duties, including data entry; handling requests, answering phone calls/screening calls/taking messages, electronic filing/maintaining organizational systems, create student and faculty spreadsheets, such as class lists, carpool lists, faculty contact info.
  • Support the work of the school by engaging in regular communications with faculty, staff, current parents and prospective parents, as necessary. 
  • Keep abreast of school events and procedures.
  • Communicate professionally and handle information regarding the students, parents, faculty and staff in a confidential manner, as per school policy.
  • Manage Director’s and Principal’s calendars and set monthly supervisory and observation meetings.
  • Responsible for LS and DoLLA event planning needs and coordination.
  • Scheduling and planning major event logistics.
  • Secure guest speakers and authors.
  • Organize book sales and handle speaker fees.
  • Mediate author visits.
  • Prepare and distribute communications, such as general announcements, emails about school events via the student communication notebook or email. 
  • At times, this may require calling or emailing parents, or class parents to pass along communications or other school organization. 
  • Available at other times in school day to provide coverage as needed if there are gaps in what’s available (e.g., lunch duty, carpool, recess) Initiate and manage conference scheduling and sharing conference schedules with parents/guardians.
  • Ordering: Order LS and DoLLA supplies in the summer, assist teachers with purchase orders, order supplies for principal and director, order curriculum resources as needed.
  • Maintain Shared Drive: Archive necessary files, update files regularly and add necessary assessment documents to all student Google Drive folders.
  • Assist with schoolwide faculty language & literacy trainings to include creating schedules, coordinate sub coverage, and set up Regular and predictable attendance is an essential function of the job.
  • To perform other duties as assigned by the supervisors or Head of School.

Qualifications:

  • Bachelor’s degree required
  • 3-5 years of school experience preferred
  • Excellent verbal and written communication skills
  • Desire to plan and work collaboratively on a team is essential
  • Displays proficiency in all related computer applications, including; Mac OS, Apple iOS, Microsoft Office programs, email and Internet, and Google Apps for Education Suite
  • Fully vaccinated for COVID-19 preferred

Physical Requirements and Work Environment:

  • Must have the ability to sit and stand for extended periods of time; exhibit manual  dexterity to enter data into a computer; to see and read a computer screen and  printed material with or without vision aids; hear and understand speech at  normal classroom levels, outdoors and on the telephone; speak in audible tones  so that others may understand clearly in normal classrooms, outdoors and on the  telephone; physical agility to lift up to 50 pounds; and to bend, stoop climb stairs  and reach overhead Work primarily in a traditional climate-controlled office environment Work intermittently in outside weather conditions, including extreme heat and cold
