RLF was founded 20+ years ago to help the Packard Foundation invest large sums of money to achieve largescale conservation impact in California. Since then, we have partnered to protect more than five million acres and generated more than $30 billion in new public funding for land and ocean conservation, equitable outdoor access, and climate resilience. Over the past 20 years, our work has taught us that conservation does not advance in a bubble. Its success is integrally tied to social equity, community health, economic opportunity, and a strong democracy. To safeguard our achievements to date, and help prepare a favorable environment to face the daunting threats of climate change, we helped launch two partner organizations: Fund for a Better Future (FBF) and Shared Ascent Fund (SAF) to work in the intersecting areas of democracy, environment, health, and equity.

We are a core team of approximately 55 people in 10 states, with the majority based in the Sacramento, California region. We also have staff across the country working on more than 25 fiscally sponsored projects that span the globe.

ABOUT THE OPPORTUNITY

Resources Legacy Fund seeks an Executive Assistant to join its executive support team, with a focus on support to the three Vice Presidents and CFO. With this role RLF seeks to expand executive support capacity to help executives achieve the optimum usage of their time and opportunities.

Reporting to the Vice President of Operations, the Executive Assistant plays an essential role in executing on tasks and projects that enable teams to communicate and work together more effectively and efficiently. Working as a representative of the VPs and CFO, the Executive Assistant brings good judgment, tact, and professionalism to all internal and external interactions.

This position may be based in the Sacramento office; or the position may be 100% remote with travel to Sacramento at least quarterly. Candidates located within Northern California preferred.

Key aspects of the role include the following:

Scheduling and Meeting Coordination

The Executive Assistant provides effective calendar management for the VPs and CFO by communicating frequently based on the communication preferences of each executive to confirm priorities and working with each member of the team to ensure their calendars reflect their overall priorities. The Executive Assistant schedules and coordinates meetings and manages travel arrangements on behalf of the VPs and CFO, including regular meetings as delegated, or ad-hoc meetings as requested. The Executive Assistant often coordinates with external contacts to schedule and plan meetings, and will often be responsible for logistics such as meeting room arrangements and hospitality.

In collaboration with colleagues, this position also has responsibility for planning and coordinating internal meetings such as all-staff meetings, annual benefits meetings, and similar.

The Executive Assistant proactively takes responsibility for ensuring all appropriate communications are provided to meeting participants, whether from the supported team member or directly from the Executive Assistant.

Support to the DEI Committee

Resources Legacy Fund has a robust Diversity, Equity, and Inclusion (DEI) Committee, with a number of concrete commitments and goals. The Executive Assistant will support this work by collaborating with colleagues to coordinate meetings, facilitate communication, and maintain documentation for DEI work.

General Executive and Administrative Support

As a member of the executive support team, the Executive Assistant will cross-train with, and perform backup duties for, the Executive Assistant to the President and the Board Liaison.

This position may be asked to provide support with proofreading and editing, research, document management, drafting documents and presentations, and note-taking. The executive assistant should be ready to dive in on any special project when assigned.

As an administrative support generalist, the Executive Assistant will develop and maintain a thorough knowledge of RLF’s current priorities and projects, as well as the organization’s preferences and protocols. The Executive Assistant will strive to see the “big picture” from RLF’s perspective, as well as maintain awareness of the responsibilities and workload of the VPs and CFO. The Executive Assistant will help track individual and team objectives, reminding individuals about their tasks and goals.

IDEAL CANDIDATE

RLF’s new Executive Assistant has a strong desire to serve and support others. The ideal candidate takes pride in being proactive, organized, and knowledgeable. High-level customer service skills incorporating courtesy, tact, confidentiality, and flexibility are critically important.

The primary skillset candidates will bring is scheduling and meeting coordination. Prior experience working in an executive support role is preferred but not required. This role requires the ability to take initiative, to see what needs to be done and do it without being directed to do so, and to do whatever is necessary to complete a job. Meanwhile, as this position supports several executives, successful candidates will have the ability to track multiple tasks, continually prioritize, and meet deadlines with minimal direct supervision.

The ideal candidate thrives as part of a team and understands the role to be in service to colleagues and to the organization. Successful candidates will embrace office protocols and understand the importance of their position in fostering a successful organizational culture.

Superior written and verbal communication skills include the ability to draft, proofread, and edit documents and presentations, as well as the ability to craft and manage communications that enable others to understand and execute on what is expected of them. The ability to work with a variety communication styles and tailor communications to the preferences of each executive

General computer literacy and proficiency in the Microsoft suite are a given, along with the ability to learn new technology quickly and thoroughly. Experience using a CRM or document management system are a huge plus.

QUALIFICATIONS

  • Minimum of 5 years of demonstrated experience planning and coordinating meetings on behalf of others, along with a minimum of 2 years of experience in positions requiring a high degree of customer service, tact, and confidentiality. Strong organizational skills, sharp attention to detail, and persistence in following through on projects. Proven ability to prioritize and handle multiple tasks independently; effective management of shifting priorities and time-sensitive projects to meet deadlines. Exceptional interpersonal and collaboration skills. Strong oral and written communication skills. Excellent computer skills and proficiency with the Microsoft Office Suite; learns new tools and systems quickly. Interest in conservation of land, ocean, and water resources, climate change resilience, and conservation funding and policies that benefit all communities. A commitment to diversity, equity, and inclusion. Positive attitude and a commitment to being part of and building a positive work environment. Good judgment and the ability to work with humor and grace under pressure.

COMPENSATION

Salary range of $75,000 - $85,000. We have an alternate Fridays off work schedule (employees work 40 hours one week, 32 hours the next week) and offer a comprehensive benefit package including medical, dental, and vision insurance, 401k plan with a 5% match, and generous paid time off. RLF also offers a technology allowance, student loan repayment assistance, the Calm app, mental health benefits and approximately 17 paid holidays per year.
