The National Employment Law Project (NELP) seeks a detail-oriented, highly organized, and dynamic Executive Assistant committed to getting results. NELP has a team of 55 staff people based across offices in New York City, Washington D.C., and Berkeley, CA, with a 12-person Board of Directors, an annual budget of $20M, and hundreds of partners in the field with whom we work to further our mission.

What You Will Do

You will provide administrative support by working closely with the General Counsel (GC) and Chief Operating Officer (COO).  This role requires a high degree of independence and initiative to solve problems and develop processes to support the objectives of the COO and GC.  Your work will also include partnering or liaising with other executive leadership, internal and external stakeholders, managing operational processes, coordinating legal department work, as well as updating and managing internal and external communications. You must be able to work with speed and accuracy to produce a consistently high-quality work product.  Your responsibilities will include, but are not limited to the following:

  • Help develop and provide a coordinating role on special projects supporting initiatives led by the General Counsel and COO.  Examples of projects include: Provide logistics management for summer and term-time internships program and assist with hiring and recruitment processes, onboarding scheduling, and harmonizing NELP processes. Creation and administration of database tools to enhance NELP’s recruiting Build and maintain NELP’s product library in Salesforce. Prepare written communications and summaries to online NELP Connect communities related to Legal Department work, including amicus briefs and testimonies.
  • Support coordination of, manage preparation for and attend meetings, produce minutes and manage other relevant documents for executive meetings and for operational, financial and legal matters. (e.g., managing travel arrangements, Zoom/virtual meeting programs and invitations, preparing meeting materials, creating notes or reports, and identifying next steps, coordinating post-meeting work or surveys). Manage post-meeting follow up and action items. Manage complex calendars for the General Counsel and Chief Operating Officer, such as scheduling and prioritizing meetings; and calendaring, tracking, and monitoring key deadlines and tasks.
  • Provide direct administrative support to the General Counsel and Chief Operating Officer by managing key contacts, expenses, reimbursements, coordinating travel, electronic files, and managing other relevant documents. 
  • Provide office management support for the New York City office.
  • Actively contribute to NELP becoming an anti-racist organization that reflects and embodies our values.                   

Who You Are

  • You have at least three years’ relevant administrative, office management, or executive assistant experience; preference for experience in a non-profit, labor, legal, operations or financial environment.
  • You are able to work with a high degree of independence and take initiative to prioritize and advance objectives of the General Counsel and Chief Operating Officer without detailed instruction.
  • You have strong people skills and are an excellent communicator; you create high-quality written products, which are error-free, clear, and well-organized; you excel at copyediting.
  • You exercise discretion and independent judgment involving considering, comparing, and evaluating different courses of action and then making a decision or recommending a decision on important matters consequential to the priorities of the General Counsel and Chief Operating Officer.
  • You enjoy creating more efficient systems and processes to ensure all operations run smoothly; you are highly detail-oriented, have excellent organizational skills, and have a demonstrated ability to manage multiple projects. Y
  • You embrace technology and have mastered Microsoft Office365 applications and Zoom. You enjoy learning new tools to become more effective and efficient. You have experience using a CRM such as Salesforce. 
  • You possess a strong interest in learning how to use database management and reporting tools, such as Salesforce, to improve internal operations and communications.
  • You are scrupulous about respecting confidentiality in your role representing executive team members.
  • You anticipate challenges, are solution-oriented and seize opportunities to anticipate and meet the objectives of executive staff.
  • You excel at prioritizing competing projects and needs, handle matters expeditiously, proactively, and follow through on projects to successful completion.
  • You have experience with logistics planning and office administration including working with building management and anticipating in-person office needs.
  • You are committed to building your racial equity competencies and you are continuously learning, reflecting, and growing.
  • You are self-aware, curious, and respectful with strong interpersonal skills and emotional intelligence, fostering a sense of purpose and community and have high standards for holding yourself and others accountable.

Start Date, Location, Compensation and Benefits:  In response to the pandemic, all staff are currently working remotely and are not traveling except in limited voluntary circumstances. When conditions are amenable, the position will require limited travel. Candidates must be able to work from the New York City, NY office at the point that we return to working in the office. The start date for this position will be as soon as possible. The salary for this position is $80,000.
