DEPARTMENT:  Finance

REPORTS TO: Assistant Controller & Chief of Staff

Reporting to the Assistant Controller and secondarily to the Chief of Staff, the Administrative Assistant I is responsible for providing administrative support for the Finance department, centering the mission of the organization while modeling excellent customer service and collaboration.

Essential Functions of Position:

  • Provides administrative support to the Finance department including, but not limited to: scheduling, organizing and preparing for meetings, taking minutes and notes, collecting and processing billing and invoices, performing due diligence of potential grantees, maintaining complete files.
  • Supports accounting in performing various weekly, monthly and quarterly administrative processes and during seasonal peaks of grant and scholarship check processing
  • Supports gift processing
  • Completes accounting projects as assigned
  • Become a brand ambassador with proficient knowledge in guideline compliance, presentation and document formatting and internal and external messaging
  • Become an expert and owner of data management – including proficient use of internal technology
  • Assists with special projects and other duties as assigned
  • Provide coverage for the front desk as needed
  • Ensures collaboration between departments and across the organization
  • Assists in department-wide projects as needed

QUALIFICATIONS

  • Must be flexible, able to take initiative and work independently
  • Ability to handle multiple tasks at once and be adaptable to changing priorities
  • Requires strong attention to detail
  • Ability to meet deadlines and fulfill scheduling requirements
  • Excellent computer skills; spreadsheet, database, internet and e-mail
  • Strong oral, written and interpersonal communication skills
  • Ability to use independent judgment in decision-making
  • Provides productive, creative cross-functional thinking and ideas to enhance service to customers
  • Demonstrate ability to work effectively with others
  • Operates with a strong sense of accountability, flexibility and humility with a strong capacity for self-reflection
  • Work with a sense of urgency to support business needs
  • Ability to serve as a trusted member of the Administrative Department
  • Occasionally requires extended work hours
  • High school diploma, GED, or equivalent required; University/college degree is an asset
  • Accounting or related degree and/or experience preferred

Other:

All employees are required to be fully vaccinated against COVID-19 (medical and religious exemption accommodation possible) within 30 days of hire.

The Community Foundation operates in a hybrid working environment with staff working in-office three days per week and the opportunity to work two days remote per week if in good standing. 

Compensation:

To be determined based upon experience and qualifications within the anticipated salary range of $40,000-$46,000. This position is exempt and employee is eligible for the Foundation’s competitive health and benefits plan.
