POSITION:  FACILITIES COORDINATOR                            STATUS:  Part Time                                                                                                                  CLASSIFICATION: Non-Exempt                 

 

General Overview

 

The Facilities Coordinator for Hammond House Museum is responsible for the overall upkeep of the physical plant, grounds, artwork and house contents regarding maintenance, cleanliness, safety, and security.  Due to the nature of a small staff other areas of responsibility regarding rentals / HHM events are required.  Duties include but are not limited to the following:

 

SPECIFIC SCOPE OF WORK

 

Facilities

  • Coordinate and direct work activities of personnel responsible for performing interior cleaning and exterior grounds maintenance. In keeping with contractual agreements for service monitor and record attendance of personnel and communicate, document, and evaluate work assignments. Maintain inventory and assessment of cleaning and paper supplies. Place requisition requests or advise contract personnel to order items as needed. Identify facility and grounds needs and either

  -  fix, construct, maintain, replace or reorder as needed or

 

  -  process work requests to the appropriate Fulton County department when repairs cannot or should not be done by in-house maintenance.

 

  • Maintain storage areas in an organized, safe, manner where items are logically accessible to other staff employees.
  • Ensure that items are promptly returned to appropriate storage after use. Boxed items should be labeled and stored systematically.
  • Ensure that non-staff kitchen cabinets and drawers are always locked when not in use for a Hammonds House Museum event. 
  • Maintain inventory of liquor and supplies used for Hammonds House Museum events ensuring that these items are not used for other purposes. 
  • Advise in advance when these items need to be replenished. In the absence of cleaning and maintenance personnel (particularly on weekends) ensure that facility is clean, debris picked up, waste containers emptied, plants are watered weekly, porches and decks are sweep, and bathrooms properly stocked with supplies and that grounds and parking lot is presentable for the public.
  • Keep doors to kitchen and janitorial closet closed. In conjunction with the Managing Director act as liaison with FC on building construction projects.
  • Assist Artistic Chair or guest curator with preparations for new exhibitions by helping to take down, pack and ship exiting exhibit artwork, receive, unpack, hang and label incoming work, prepare and order painting for wall surfaces.
  • Order, coordinate and be responsible for setup and break down materials and equipment for Hammonds House events and rentals (tables, chairs, P.A. systems, speakers etc.)
  • Receive and instruct the placement of materials and equipment for rentals and HHM events.
  • Coordinate and supervise pick up of material and equipment for rentals and HHM events. Maintain and respond to entries made on a facilities log.
  • Prepare a weekly activity report covering all areas under your responsibility.

Events

  • Coordinate and supervise set up and breakdown of equipment tables/chairs/microphones/etc.  (As agreed per terms listed in client contract) Work all HHM and rental events.
  • Assign positions and document arrival/departure times of FC security personnel for events, assign positions and document arrival/departure times.
  • Collaborate with HHM Weekend Gallery Associate as needed to ensure that events run smoothly and that the participants and crowd are content and happy.

 

Security

  • Ensure that the museum security system is functional and that security procedures are being followed. Open the facility by disabling the alarm system, signing in, performing a security and maintenance walk-through, and preparing the facility for the daily operation.
  • At the end of shift lock gates and doors not being used, turn off lights, sign out and set an alarm.
  • Maintain a keen awareness of the detection of possible security breaches and make routine inspections of the entire house throughout the duty period.
  • Maintain a security log which contains the following: Staff and emergency contact personnel and numbers. Log for recording facility security or emergency incidents.

SPECIFIC QUALIFICATIONS

  • Technical Skills - knowledge of and ability to perform basic construction and repair tasks. Strong Organizational Skills - well organized, punctual and task oriented. Written communication Skills - ability to produce and maintain well documented files and records, both manually and electronically. Must be able to lift items weighing 25lbs +.
