The Office Manager is a new full-time position at Resilient Georgia. Reporting to the Executive Director, this individual will be responsible for ensuring all bookkeeping/accounting and administrative support functions and operations are executed in an efficient, effective, and organized manner.
The ideal candidate will have a diplomatic sensitivity, be highly detail-oriented, creative, curious, and enjoy solving problems. Nonprofit employment experience is highly preferred.

Office Administration Responsibilities
• Oversee and support all administrative duties in the office and ensure that office is operating smoothly, including setting standards
• Assists internal and external communication team to support all aspects of the Executive Director’s speaking engagements (logistics, talking points, scheduling, supplies, etc.)
• Manage scheduling for Executive Director. Ensures accuracy, coordination, and prioritization of the calendar
• Facilitates communication; develops memos and reviews correspondence and drafts responses for the Executive Director as appropriate
• Understands organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed
• Manages integrated corporate calendar; establishes and maintains systems to assist the Executive Director and her direct reports with areas of accountability/responsibility and coordinating agendas, minutes, and follow up for leadership meetings
• Manage and Organize Shared Drive and ensure all work is uploaded monthly
• Identify opportunities for process and office management improvements and design and implement new systems
• Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
• Assist with managing and maintaining IT infrastructure for Executive Director and RG staff
• Ensures digital administration accounts (such as Constant Contacts, Zoom, etc.) are current. Keeps a current log of log-in credentials.
• Interfaces and collaborates with contracted IT support personnel. Implements basic IT functions with support from contracted IT personnel.


Bookkeeping Responsibilities
• Conduct payroll for employees and contractors
• Manage account receivables & payables
• Tax planning assistance
• Financial planning & projections • Demonstrate good record-keeping skills to meet state and federal tax and nonprofit regulations
• Produce monthly, quarterly, and annual financial statements, reports, and balance sheets – for review by RG Board, Executive Director, and Key Leadership to remain abreast of the nonprofit’s financial health


Qualifications
• An Associate’s degree or two years of college coursework required. Bachelor's degree in business administration, communications, or a related field preferred. Any combination of education and experience that demonstrates the knowledge and ability to perform the work.
• 2-5 years of work experience in a bookkeeping & administrative/office management role
• Knowledge of accounting practices relevant to non-profit accounting
• Experience in non-profit and grant accounting a plus
• Impeccable attention to detail and follow-through
• Strong organizational and time management skills. Results-oriented demonstrated ability to prioritize, plan, and execute.
• Must be a self-starter and driven. Demonstrated ability to work autonomously
• Excellent communication and interpersonal skills
• Strong problem-solving skills and analytical abilities
• Keen Interest in Behavioral Health preferred
• High level verbal and written communication skills
• Strong influencing and facilitative abilities
• Ability to communicate and work collaboratively across all levels of leadership
• High level of proficiency in the use of Zoom, Teams, Microsoft Office Suite (Microsoft Excel, Word, and PowerPoint), Adobe Pro, and Google Products
• Experience with Quick Books Pro or similar software experience (minimum two years)
• Payroll processing experience (minimum two years)
• Ability to work effectively in a face-paced environment with changing priorities


Salary Range

Location
Remote, with occasional in-person meetings and travel within the state, mostly in metro Atlanta. In-person meetings and travel within the state combined will account for up to 10% annually.
