The Atlanta Police Foundation (APF), established in 2003, brings together the public and private sectors, with the mission of making Atlanta a safer city for residents and visitors. Through public safety strategies and partnerships, the Foundation, a 501(c) 3, provides a means for individuals, community members and businesses to engage and donate funds, with a goal of preventing and reducing crime. The Foundation’s programs address the city’s public safety needs, including increasing police visibility, using state-of-the-art technology to fight and prevent crime and working to create strong leaders in the Atlanta Police Department through enhanced training. JOB SUMMARY

Reporting to the Vice President of Finance and Administration, the Executive Assistant will provide high-level administrative support to the CEO of the Foundation. The Executive Assistant provides support in a one-on-one working relationship, to include oversight of the CEO’s business relationships and schedule management. The Executive Assistant also serves as a liaison to the board of directors, senior management team, and City of Atlanta officials; organizes and coordinates executive outreach and external relations efforts, actions immediate follow-up from the CEO’s meetings, and oversees special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in diverse situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.  The Executive Assistant must provide support with a high level of professionalism and in a manner that reflects positively on the organization.

 

KEY RESPONSIBILITIES

  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the company operations
  • Organize CEO’s calendar and schedule, resolving any scheduling issues
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff
  • Draft and prepare correspondence for internal announcements and board meetings
  • Manage the CEO’s contacts, to include last touchpoints to ensure continued engagement with board members, donors, APD officials, and City of Atlanta mayoral staff
  • Conserve the CEO's time by reading, researching, collecting, and analyzing information as needed, in advance
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours
  • Review credit card charges and submit documentation to accounting
  • Represent the company and the CEO in a positive light through great follow-through skills and sound judgment
  • Complete ad hoc projects as assigned

 

QUALIFICATIONS

  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Ability to communicate effectively and professionally
  • Excellent communication and time management skills; proven ability to meet deadlines
  • Flexible hours as dictated by the needs of business for projects and meetings
  • Ability to function well in a high-paced environment; performs additional duties as assigned
