As Earthjustice responds to the COVID-19 global pandemic, we are committed to caring for the safety and health of our staff. The Real Estate and Workplace Strategy (“REWS”) team is seeking a COVID-19 Operations Specialist to support our ongoing efforts in maintaining safety measures, policies and programs, under the direct supervision of the Vice President of REWS. This position will focus on administration and compliance with our vaccination programs and policies, reporting and data analysis, and internal communication with staff and leadership concerning COVID-19. The role requires keen attention to detail, strong customer service skills, effective collaboration with a multitude of stakeholders and savviness with various project management programs.   

The role will serve as the lead on vaccine verifications, providing guidance to COVID-positive staff members, exposure notices, and contact tracing. In addition, they will serve on the Earthjustice COVID-19 Response team, which includes representatives from REWS, HR, General Counsel, Internal Communications, Senior VP of Operations, and others. 

This is a one-year role with potential for extension. This is a full-time role (37.5 hours per week) and some rotating evening or weekend work may be required to fulfill duties. The role may be 100% remote or housed in any of our regional offices in which there is space.

Responsibilities: 

Vaccine Verification (15%)

  • In coordination with the HR team, oversee the vaccine verification processes in the verification system, Qualtrics, for new hires and staff. Follow up with staff as needed to ensure we receive verification in a timely manner.
  • Handle any verification system outages and glitches. Communicate with staff as necessary. Work with Qualtrics support as needed to solve the problem.
  • Manage the relationship with external vendors, Red Pepper and Qualtrics, to initiate a new vaccine verification process (e.g. boosters), as needed.

COVID Exposures and Contact Tracing (60%)

  • Manage and maintain confidential information with care in adherence to HR and HIPAA personal and medical information policies.
  • Intake notifications from COVID-positive staff member(s) and guests. Inform of any relevant health precautions and related Earthjustice policies.
  • Commence contact tracing protocol to and attain necessary information including, but not limited to, whether the staff member has symptoms, has been in close contact with other staff members, etc.
  • Notify any staff in close contact with a COVID-positive person. Inform exposed staff member(s) of any relevant health precautions or Earthjustice policies.
  • Remain as the employee’s case management point of contact until employee is cleared and case is closed.
  • Track COVID cases in an Excel spreadsheet and escalate cases as needed for further review, when appropriate
  • Monitor for any outbreaks and notify General Counsel, SVP Operations and COVID-19 Response Team as needed.
  • Monitor COVID Community Levels and local guidance related to COVID where in-person work takes place (including offices, retreats, meetings, and other events) and notify COVID-19 Response Team and other appropriate staff as needed.
  • In partnership with the COVID-19 Team and events staff, develop and manage procedures to minimize risk of COVID spread at Earthjustice in-person events such as the All Staff Meeting, board meetings, donor events, and retreats.

COVID Policy and Guidance (25%)

  • Stay in the loop on current COVID-related events, scientific breakthroughs, and laws.
  • Serve on the COVID-19 Response team.
  • Facilitate COVID-19 Response Team meetings, collect agenda items, and circulate information.
  • Build, maintain, and share a report on any recent cases, while also maintaining confidentiality.
  • Use knowledge from news outlets, Qualtrics, case numbers, and contact tracing to assist the team in making educated decisions.
  • Update job knowledge by participating in educational opportunities and reading professional publications.
  • Other projects and duties, as assigned.

Qualifications:

  • 2+ years of experience in project management desired.
  • Public health, risk management, health management, emergency response, or scientific workplace background is a plus. HIPAA knowledge a plus.
  • Previous experience working with health-related information desired.
  • Basic knowledge of facts regarding COVID transmission and best practices to minimize community spread and transmission.
  • Excellent computer skills (Outlook, Zoom, Microsoft TEAMS, Microsoft Word and Excel).
  • A can-do attitude, meticulous attention to detail, and a commitment to high performance standards.
  • The ability to organize, set priorities among multiple assignments, meet deadlines, and function calmly under pressure.
  • Flexible, punctual, and highly reliable.
  • Strong communication skills, especially in times of stress.
  • A team player who will enthusiastically take on tasks that range from intellectually challenging to administrative.
  • Ability to handle confidential information with discretion and professionalism.
  • Interest in the COVID-19 pandemic and societal and organizational responses.
  • Demonstrates an awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds and orientations.
  • Contributes to the creation of a diverse, equitable and inclusive work culture that encourages and celebrates differences.

  • Salary for Philadelphia, PA; Juneau, AK; Anchorage, AK; Providence, RI; and Denver, CO: $70,700 - $78,600
  • Salary for Tallahassee, FL; Miami, FL; Bozeman, MT; Madison, WI; and Maine: $66,900 - $74,300
  • Salary for Remote (US): varies by location
