Job Description: 

The Associate Director of Finance and Administration reports directly to the Chief Financial Officer (“CFO”) and is responsible for financial reporting and grant management, along with office administration management assistance and specific program operation assistance. This position will work with the CFO to be a hands-on active manager and will work with the JFK Library Foundation team to support the following areas: finance, business planning and budgeting, human resources, administration, intellectual property and IT. This is an incredible opportunity to support finances and operations in a high-profile organization working both independently and collaboratively. The successful candidate will have outstanding accounting skills, experience in a fast-paced environment, possess a meticulous attention to detail, and have the ability to successfully prioritize and manage multiple duties in a deadline driven environment. This position requires the ability to provide strong support to the many responsibilities of the Chief Financial Officer.  

Roles and Responsibilities: 

Financial Management 

  • Administer and manage the entire grant process for Foundation and federal/state grants, including ensuring proper policies and procedures are followed in accordance with donor documents and federal grant guidelines 
  • Administer and maintain all records for the investment portfolio 
  • Provide support to the overall financial review process including designing presentations and reports, preparing variance analysis, and forecasting future results 
  • Prepare financial reporting materials for donors, projects and programs 
  • Manage the annual preparation of form 990, MA charity reporting and manage the process for other required reporting 
  • Update and develop all necessary office policies and formalize the finance department’s policy and procedure manual 
  • Provide backup to the finance team in the day-to-day activities of payables, payroll, benefits and the monthly close 
  • Take the lead on accounting technology, ensuring best usage of the current system to develop reports and improve efficiencies 
  • Manage the accurate and timely reporting of staff VISAs and expense reimbursements 
  • Assist in the annual budget process and annual audit 
  • Assume responsibilities as deemed appropriate by the CFO 

Administrative and Other Support 

  • Work with the CFO in preparing and managing projects in the areas of IT, intellectual property, human resources, records retention and management of specific programs 
  • Work closely and effectively with the CFO to ensure staff and consultants are meeting the expectations and deliverables of their roles and contracts 
  • Assist with the preparation of materials for various board committees and maintain minutes 
  • Manage the expense reports of the CFO 
  • Assist the CFO and Executive Assistant with virtual and in-office management  
  • Perform other duties as assigned by the CFO 

Qualifications: 

The ideal candidate will have: 

  • Minimum of a bachelor’s degree, ideally with an MBA/CPA or related degree 
  • At least 8 years of overall professional experience; ideally three-plus years of broad financial and operations management experience  
  • Exposure to non-profit accounting and experience in a non-profit organization or mid-size business  
  • Experience with accounting for investments and administering a portfolio 
  • A track record in federal grant management; state appropriations administration a plus 
  • Technology savvy with experience in software upgrades and high-level presentations  
  • Impeccable attention to detail, strong prioritization skills, and agility to multi-task and change priorities quickly 
  • Must be able to set a professional tone that contributes to a positive work environment 
  • Demonstrated ability to work with a variety of stakeholders 
  • Excellent written and verbal communication skills 
  • Strong GAAP knowledge and Microsoft Office skills 

Salary Range: $85k - $95k
