Travel Coordinator and Meeting Planner  

Location: As of February 2022, NCCPA has transitioned to a hybrid work environment. The nature of this role requires that the employee provide on-site support during NCCPA meetings and quarterly travel to support NCCPA meetings.

Why Us, Why Now?

As the Travel Coordinator and Meeting Planner, you will provide meeting planning and travel coordination services for NCCPA, nccPA Health Foundation and PA History Society events that require participant travel, hotel contracts, and/or meeting planning services. 

How Will You Make a Difference? You will…

Ensure that all meetings of the Board of Directors of NCCPA, its supporting organizations and subgroups, and company-wide travel and meeting planning events are efficiently planned, well-coordinated and adhere to budget and time deadlines.

Plan and facilitate logistics for Board events (both on-site and off-site), including contract negotiations, attendees list, venue preparation, technical support (AV/presentation equipment), health and safety guidelines, security, emergency preparedness, food and beverage, off-site dining, air and ground transportation, event work plans, and meeting set-up and décor.

Serve as the single point of contact for all NCCPA staff and volunteer business travel and accountable for all travel arrangements for NCCPA department meetings. 

Identify and secure a slate of community service and team building activities for the quarterly NCCPA Board of the Directors meetings.

Regularly interact, collaborate, effectively communication and coordinate with industry contacts, vendors, volunteer members of the respective Board of Directors, subject matter experts, and staff members throughout the organization. 

Lead the continuous assessment of all travel and meeting processes to ensure efficient and effective processes are in place; identify, develop, and implement travel and meeting planning improvement initiatives.

Hard Skills You Will Have

  • Associate's degree in Business Administration or related field or completion of at least two years of college courses. 
  • At least five years of professional business travel coordination and corporate meeting planning experience.  
  • Experience working in Microsoft 365 applications especially in Word, Outlook, Excel, PowerPoint, and Adobe Acrobat.  

Soft Skills You Will Have

  • Your highly developed time management skills, systematic approach to  organization/planning and keen attention to detail. 
  • Your excellent written and verbal communications skills with a proficiency in diplomacy.
  • Your ability to build and maintain positive business relationships with various levels of staff, volunteers, vendors and other NCCPA stakeholders.
  • Your flexibility and willingness to occasionally work extended hours and to travel as required to support meetings.  

Extra Skills You Can Bring Along

  • Bachelor's degree in Business Administration or related field  Experience working in a non-profit and/or supporting board of directors and/or volunteer committees meetings.    
  • Travel planning certificate or credential
