Description
MedShare annually engages a thriving Volunteer Corps of over 22,000 individuals to prepare product to match the needs of partnering healthcare facilities throughout the globe. The Volunteer Program Coordinator facilitates this program by recruiting and engaging volunteers, supervising Volunteer Associate staff and volunteers to effectively prepare and execute sorting and packaging sessions, and collaborating within the organization to ensure the availability of product for our partners. The Volunteer Program Coordinator plays a crucial role in conveying the mission of MedShare to the public. The successful person in this role will have a passion for service and learning, be hands-on, able to juggle multiple priorities, and enjoy collaborating with diverse groups to deliver the MedShare mission.
Reports To: Operations Manager, Southeast Region
Position Type: Full Time, Tuesday – Saturday schedule
Duties and Responsibilities
Recruit and Engage Volunteers
- Collaborate with Operations Manager to cultivate community and organization partnerships to ensure a sustained volunteer program; Participate in community engagement events to promote MedShare’s mission and opportunity for service
- Develop and maintain welcoming routines for both experienced and new volunteers
- Build and maintain routines to implement regular and ongoing communication with volunteers
- Collaborate with Operations Manager to recruit, utilize and maintain sets of skilled volunteers to complete ongoing and/or special projects requiring defined medical knowledge (ie. Detailed material categories, Surgical instruments)
- Engage with volunteers during sorting sessions
- Coordinate regular volunteer appreciation activities, such as for holiday meals and Volunteer Appreciation Week
Coordinate Product Sorting & Packaging
- Coordinate with Volunteer Associates to lead multiple volunteer sessions each workday, including Saturdays
- Set the daily & weekly sorting and packaging plans, assigning priorities to product selections based on inventory and shipment needs
- Ensure each sorting session and special projects are well prepared in advance for each session, preparing necessary supplies, maintaining clean, well-stocked and organized sorting areas
- Provide training to volunteers to ensure accurate and effective sorting sessions; effectively utilize experienced and knowledgeable volunteers to support knowledge-sharing during the sorting sessions
- Coordinate with shipping, warehouse, inventory associates and other staff ensure strong communication and maintain the appropriate material and product flows
- Safely move pallets of products between warehouse, sorting areas and finished good staging areas
- Appropriately complete recycling and product disposals, following EPA / OSHA guidelines
Supervise Volunteer Associates
- Coordinate staff work schedules
- Assign work tasks to volunteer associates before, during and after sorting sessions / projects
- Build and maintain medical product knowledge expertise within the staff to support accurate, effective and quality product sorting
- Provide input to staff performance feedback
Complete Administrative Tasks
- Effectively Schedule and plan volunteer shifts, assignments and projects using volunteer management software and/or other tools, coordinating with other departments as needed to fulfill volunteer requests
- Maintain volunteer database to identify volunteers with special skills and experience
- Train staff and volunteers to accurately complete all appropriate volunteer, product and inventory management documentation
- Properly utilize the warehouse management software and/or other tools to maintain accurate material movement records
- Collect, track and report volunteer program performance data and metrics
- Identify and collaborate with Manager and staff on continuous improvement in sort room and volunteer operations to increase inventory availability and quality, sorting efficiency, and volunteer utilization and engagement
- Support special projects and perform other related duties as required
Minimum Requirements
- Bachelors’ Degree or equivalent work experience
- 2+ years’ experience supervising others
- Experience in production operation, customer-facing and/or customer service environment
- Ability to work a flexible schedule, including evenings and weekends
- Ability to lift up to 50 Lbs and utilize manual pallet jack to move pallets
- Fluent in English, with demonstrated effective verbal and written communication skills within a diverse workplace
- Experience working with volunteers preferred
- Knowledge of EPA / OSHA workplace safety requirements a plus
- Willingness to operate basic warehouse equipment (pallet jack, rolling ladder) preferred
- Knowledge of medical products and their usage a plus
- Experience working in culturally-diverse organizations
- Passion for community service, international development and MedShare’s mission
- International Experience a plus
