SUMMARY OF JOB PURPOSE:

The Division of Finance and Facilities has an opening for someone to be a dependable member of a small team who is passionate about improving education.  As a Facilities and Office Services Specialist, you will be an integral part of providing services and maintaining the environment of our organization.

What does a Facilities and Office Services Specialist do?

  • Assists in the oversight of facility maintenance needs by coordinating repairs, performing minor repairs, and interfacing with contractors.
  • Performs basic maintenance and trouble-shooting tasks on a variety of office equipment (e.g. copiers) and building items (e.g. furniture, doors, water filters, light bulbs) using basic hand and power tools.
  • Completes routine inspections of the building and property to identify and address areas of concern.
  • Manages inventory, stocks supplies, and maintains operation of building vending machines; stocks first aid kits; tests AED equipment to ensure operation. Ensures elevator permit is current and fire extinguishers are ready for operation.
  • Maintains automated or manual records of off-site storage facilities.
  • Tracks and assigns building access cards and rooms keys; runs building access reports as requested; ensures working order of gate system and places work orders as needed; acts as backup for gate access/opening for visitors and deliveries.
  • Provides support for internal meetings:  ensures rooms are clean and ready; resets room following meeting. Processes and manages mail and shipping; use postage equipment to apply and track postage for departmental billing; uses shipping services applications to process and track shipping for departmental billing; receives and tracks packages; prepares incoming mail for distribution. 
  • Receives and logs incoming checks for proper internal controls and processes specific invoices with correct coding and routing for approvals.
  • May drive motor vehicles for assigned tasks including delivery of mail, bank deposits, purchase of supplies and equipment, and support of offsite storage facilities.
  • Operates copy reproduction equipment and related paper processing equipment such as collators, binders, paper drills and related production equipment.
  • Demonstrates regular on-site attendance which is crucial for performance of responsibilities

What does it take to be a Facilities and Office Services Specialist?

High School Diploma/GED; AND one (1) year of related experience; OR an equivalent combination of education, training and experience. Required knowledge of:

  • Business arithmetic.
  • Computer applications related to the work.
  • Office practices and procedures.
  • Safety practices related to the work.
  • Postage and shipping regulations, practices and the operation of postage metering equipment. Inventory control methods and computer applications.
  • Records management principles and practices.

Required Skill in:

  • Performing accurate arithmetic calculations.
  • Maintaining accurate records of work performed.
  • Performing mail services, shipping and receiving services support activities.
  • Basic maintenance and operations work.
  • Safely using hand tools related to the work.
  • Organizing own work, setting priorities and meeting critical deadlines.
  • Operating a motor vehicle.

Additional Requirements:

  • This position is located at SREB headquarters, in midtown Atlanta.
  • Successful completion of a background investigation and drug test.
  • Driver’s License.
