About the Opportunity

As the Executive Operations Manager you bring a healthy mix of operational obsession, while being people-obsessed to help center the health and wellbeing of our team in everything we do to achieve our shared vision and annual goals. Your primary stakeholder is the CEO and you will lead operational processes and communications that help reduce the time they spend on administrative duties and supporting organizational priorities by ensuring their calendar reflects their priorities. You will also play a key role in cross-functional communication to support team engagement and confidence with the team, as well as liaising with our board of directors and external stakeholder requests for meetings, speaking engagements and media opportunities.

The Executive Operations Manager will be responsible for providing administrative and strategic support to the CEO of B Lab U.S. & Canada, and will function as the primary staff resource for the Board of Directors and associated board committees.

This role manages all administrative functions for the lead executive of B Lab U.S. & Canada. Representing the CEO both internally and externally, and being privy to confidential information, this role requires tact and integrity. A successful candidate will be well-organized, have excellent time management & project management skills, take a proactive approach and be able to act with good judgment with minimal guidance. The person in this role will also be excited about contributing to the team’s success by solving problems, being collaborative, and demonstrating intellectual curiosity to support organizational goals.

Core Responsibilities 

Executive Operations & Project Management – 50%

  • Provide strategic administrative support to the CEO to support optimal use of executive time and resources and effective achievement of the CEO’s goals and responsibilities.
  • Manage projects on behalf of the CEO, including follow-up with staff or senior leaders on deliverables.
  • Anticipate the CEO’s needs and proactively bring together appropriate people and other resources to support the CEO in addressing challenges.
  • Assist with research, writing, and editing CEO correspondence, speeches, articles, and other communication.
  • Manage CEO’s calendar, including creating and confirming appointments and ensuring agendas are in place and pre-reading materials are shared in advance.
  • Screen and redirect, prioritize, and/or respond to CEO mail, e-mail, voicemail and appointment, and other information requests, as needed.
  • Maintain and optimize document management systems, streamline expense reports, and manage other administrative tasks of the CEO.
  • Arrange CEO travel including flights, hotel, ground transportation, and appointments.
     

Cross-functional Collaboration – 20%

  • Attend key senior leadership and high priority meetings to support the CEO in minutes taking and action items. Take notes, inform agendas, clarify next steps and track and follow-up on action items.
  • Responsible for organizational gatherings and cross-team meetings. Coordinate the agenda of the weekly and monthly team meetings by working with members across the entire team to ensure the right mix of content, inspiration and fun.
  • Plan and coordinate events such as offsites, town halls, lunches, dinners and social gatherings
  • Develop and maintain strong relationships with key contacts of various levels within and outside of the company. 
  • Proactively seek out opportunities to support senior staff on achieving organizational goals.

Support B Lab U.S. & Canada Board of Directors - 20%

  • Act as primary communications lead with the Board Chair and all members of the Board of Directors, managing the meeting cadence for the board of directors, ensuring materials are sent in advance, time is well spent, and objectives are achieved. 
  • Support CEO and Board Chair in coordination and creation of Board books for quarterly meetings.
  • Provide administrative support and serve as the primary contact for coordination, progress and reporting out of meetings of the Board of Directors, Senior Leadership Team (also known as Strategy Leads), Org Strategy Circle, Org Health Circle, and the Global Leadership Team, of which the CEO is a member along with Global Partners of the B Lab Global Network.
  • Manage meeting logistics, including virtual (zoom, google meet) access, meeting rooms, refreshments, etc.
  • Ensure timely distribution of agendas and materials prior to meetings.
  • Attend on-line and in-person meetings to manage logistics and support note taking, development of minutes and tracking action items and report out to team members.
  • Take detailed meeting minutes and work with the Board secretary to edit for board approval for each meeting. 
  • Archive all documentation and maintain the document management system, ensuring that all data is archived properly and readily available. 

Office Administration - 10% 

  • Support administrative duties related to New York City and Philadelphia office locations, as well as co-working or office leases in Oakland and Denver.
  • Support local communications to ensure appropriate access and safety measures are maintained at all times for the benefit of employee well being.
  • Negotiate office lease agreements and engage local teams in office environments and requirements to support productivity, security and fun. 

About You

  • 5 years of experience in administrative operations management
  • Entrepreneurial: You’re a self-starter who takes the lead in getting things done, as well as figuring out what needs to be done.
    • Results-focused, setting clear timelines & driving projects to completion. You move at what we call “the speed of trust,” focused on quality
    • A problem solver. You plan for multiple contingencies. When confronted with a challenge, you’re resourceful and find a way to a resolution
  • Operations Mindset: You can take an idea and create a plan through implementation, and you bring people together along the way.
    • Organized & efficient with the ability to keep track of multiple priorities at once. Managing through complexity comes naturally for you; you thrive in a busy environment and are calm under pressure, e.g. managing a dozen different priorities and tracking progress across a diverse team while responding to tons of emails
    • Proven project management experience with an ability to self-manage and coordinate people towards a deadline or an outlined process. 
    • Previous experience with managing multiple projects with competing priorities simultaneously
    • Advanced calendar management skills, including coordination of complex, multi-stakeholder meetings.
  • Collaborative with excellent communication skills: You’re a master at getting things done cross-functionally & believe in supporting all stakeholders to uplift the team.
    • A collaborative "people-person". You love working with people, are able to quickly build trust, and enjoy engaging with diverse perspectives 
    • Strong relationship management skills, with the ability to navigate relationships with individuals at all levels of seniority within an organization.
    • Ability to partner with a team on complex problems
    • A clear communicator. You are direct & concise. You write clearly and adapt to strike the right tone with a respective audience.

Compensation Details

B Lab has a compensation plan that includes:

  • An annual salary in the range of $80,000 - $85,000
  • Excellent health benefits package including access to medical, vision and dental coverage
  • Paid time off for vacation - in your first year, you’ll start with 3 weeks (prorated in a to your start date)
  • 403(b) with a match of up to 3%
  • Unlimited sick and personal time - if you need it, use it
  • After your first year of employment, 40 hours paid time off for community service; paid parental leave; and time and budget for your professional development (we assess this PD budget annually)
  • A remote first workplace
