Administrative Assistant for The Kenan Preschool, Extended Day, and Summer Programs

The Atlanta Speech School is currently seeking applicants for a full-time position of Administrative Assistant in the Kenan Preschool, Extended Day, and Summer Programs. This position provides administrative assistance to the Director of Kenan Preschool and the Director of Extended Day and Summer Programs to facilitate their ongoing work; to enhance their effectiveness, efficiency, and responsiveness.

Essential duties and responsibilities:

General & Administrative

  • Set the tone for all visitors and staff in the Kenan Preschool and Summer Camp by greeting students, families, guests, and staff
  • Answer calls and emails by providing relevant and accurate information regarding the Kenan Preschool, Extended Day and Summer Camps
  • Schedule and organize meetings, school events, conferences, and department activities
  • Design general correspondences, memos, charts, tables, graphs, etc.
  • Effectively communicate the work of the Kenan Preschool, Extended Day and Summer Camp admission procedures through initial contact
  • Collect applicable information from parents interested in the Kenan Preschool admissions
  • Maintain records needed for licensure and accreditation of Bright from the Start and NAEYC
  • Oversee data (Admissions, Registrar, and Student Parent Mailing)
  • Prepare student reports distributed 2-3 times a year
  • Provide support to Kenan Preschool Director and Extended Day/Summer Camp Director as needed
  • Perform other duties as assigned

Team Support

  • Understand the work of Atlanta Speech School and the individual programs
  • Maintain Kenan, Extended Day and Summer Camp schedules by planning and scheduling meetings and events
  • Maintain student confidence and protect operations by keeping information confidential
  • Work with Human Resources to coordinate interview sessions and candidate communication

Bookkeeping/simple Accounting

  • Manage staff expense reports and supply expenses
  • Maintain financial tracking records for budget
  • Reconcile staff’s monthly credit card statements and enter accounting codes into credit card system

Admissions for Kenan and Summer School

  • Direct contact for preschool and summer school inquiries and applicants through email and phone
  • Data entry (Admissions, Registrar, and Student Parent Mailing)
  • Schedule observations for all applicants and prepare paperwork and name tags for observations
  • Compile information and maintain student records, logs of screenings, inquiries, waitlist, accepted and denied applicants
  • Prepare enrollment and re-enrollment agreements for current and new students in RenWeb Work with RenWeb and parents to answer questions related to completing enrollment
  • Manage student records in RenWeb Prepare a variety of reports through RenWeb of admissions numbers for Director File school year information in files and summer reports
  • Assist Director with preparing for start of school year

Special Projects

  • Assist with special projects - work independently and within a team on special non-recurring and on-going projects

Speech School Duties

  • Work in cooperation with other school assistants as a back-up to cover phones, front desk and the lower lobby desk
  • Take messages or fields/answers all routine and non-routine questions

CORE COMPETENCIES:

  • Analytical and detail oriented with a proven record for producing quality work within timelines
  • Demonstrate excellent communication skills, organizational, time management, and problem-solving skills
  • Exercise independent judgment, decision making abilities, and a high level of confidentiality
  • Knowledge of NAEYC and Bright From The Start policies and accreditation preferred
  • Develop and construct cooperative working relationships with parents and potential families
  • Strong Proficiency in Office 365: MS Word, Excel, PowerPoint, Outlook,  Google Docs, RenWeb

Salary is commensurate with experience.
