Role Summary

The Center is currently seeking a customer-focused, dynamic individual for the part-time position of Group Sales Assistant.  The Group Sales Assistant reports directly to the Group Marketing Manager and is responsible for receiving inquiries and answering questions regarding group visits, booking sales, customer follow up, and answering incoming phone call and web inquiries to The Center.  This role works in strong partnership with marketing and visitor services.

Reports to:  Group Sales & Marketing Manager, and Head of Visitor Services

Essential Duties and Responsibilities

  • Assist in answering group sales phone calls and respond to emails, providing information on pricing, tours, parking, and other general group information
  • Process group reservations, working collaboratively with Group Marketing Manager once initial order details have been established and agreed upon
  • Process and manage group reservation changes
  • Assist in processing invoices, deposits and managing payment schedules, including money-due reminders
  • Assist Group Marketing Manager with ongoing phone calls and emails pertaining to group sales
  • Assist Group Marketing Manager with directing Group Sales Assistants, including staff management when Manager is off site
  • Continuously update database of group sales contact information to ensure accurate reporting and distribution of mailings and correspondence
  • Offer suggestions to Group Sales Manager for tracking visitor demographics, customer service questions, and other customizable options within the database
  • Conduct random post-visit follow up with groups to ensure satisfaction and repeat business
  • Other duties as assigned

Core Competencies

  • One (1) or more years of sales support experience
  • Previous experience in a nonprofit public service environment preferred
  • Strong attention to detail
  • Excellent problem solving skills
  • Strong interpersonal, collaboration and communication skills
  • Must have a positive attitude
  • Ability to handle interacting with the public in potentially stressful conditions.
  • Capable of managing multiple priorities
  • Ability take instruction, work well with a team, and make reasonable decisions based on process and procedures
  • Ability to work a variable schedule based upon the needs of the Center, including weekends

Physical Requirements

  • Extended periods of standing and/or sitting
  • Primarily desk work e.g. working on a computer and answering phones
  • Cognitive ability to timely make and communicate decisions consistent with organizational policy
  • Ability to lift, carry, and or move up to 25 pounds
  • Bending, reaching, kneeling
