POSITION TITLE: Coordinator, Practice, Advocacy and Quality

LOCATION: Remote in the United States

The Rheumatology Research Foundation was founded by the ACR in 1985 as a 501(c)(3) charitable organization. The ACR and Foundation have a management agreement, whereby the ACR provides the Foundation with a variety of management services, including staffing, access to and use of computer and other equipment and appropriate space at the ACR's Executive Office.

POSITION DESCRIPTION

TITLE: Coordinator, Practice, Advocacy and Quality

STATUS: Non-Exempt

LEVEL: Coordinator

DIRECT SUPERVISOR: Vice President – Practice, Advocacy and Quality

POSITION DESCRIPTION SUMMARY:

The Coordinator, Practice, Advocacy and Quality coordinates select projects and initiatives of the department, provides support for committees, and provides coordination and operational support for the department overall.  

DUTIES & RESPONSIBILITIES:

  • Provide support for the Practice, Advocacy and Quality department including support for committees, managing member information, committee projects, member communications, and newsletters as needed.
  • Provide support for the ACR Committee on Rheumatologic Care (CORC), including working with the Chair and Vice President in planning meetings and developing materials. Coordinate communications with committee members, including scheduling and distributing materials as well as recording meeting minutes as needed.
  • Provide support for other department committees including maintaining and updating rosters and member information, serving as point of contact for committee member needs, and maintaining information in member databases.
  • Coordinate and move forward committee action items including, but not limited to, compiling and circulating updated position statements for committee and Board reviews and approvals.
  • Manage and coordinate ACR town halls held virtually by CORC and other committees on topics of value to the membership. Plan town hall logistics, serve as point of contact for panelists and committee chairs, collaborate with other departments during registration, assist with slides and scripts, and collaborate with Marketing and Communications to secure promotional and post-event communications.
  • Facilitate other project administration as needed including collaborating with members and staff.
  • Assist the RISE registry team with account management in Nimble by updating member accounts where necessary and working with corresponding practices to ensure RISE communications are successful.
  • Coordinate and maintain information relating to state society meetings and ACR involvement.
  • Provide support for meeting logistics and other aspects of select conferences including the Advocates for Arthritis conference and Advocacy Leadership Conference.
  • Regularly monitor shared and general email inboxes and coordinate responses to members or other stakeholders. Answer emails relating to department issues by providing information from the ACR website or relevant patient group website.
  • Provide support for ACR list serves, including verifying membership of subscribers and approving/denying subscriptions accordingly.
  • In conjunction with accounting team, review travel expenses submitted by volunteers and Advocates for Arthritis attendees and assist with conference travel and logistics for members as needed.
  • Manage and maintain records of department expenses, provide billing information as needed, and complete all necessary coding to reconcile department credit card in accounting processes.
  • Collaborate with department leads and other departments to plan agendas for departmental meetings. Work to streamline department-wide functions where possible and proactively collaborate with staff accordingly.
  • Serve as point person for department SharePoint account, maintaining organized space for essential documents and approving staff access when necessary.
  • Attend the Annual Scientific Meeting and handle duties as directed.
  • Any other duties as the Vice President – Practice, Advocacy and Quality, ACR Senior Vice President, or ACR Executive Vice President may assign

QUALIFICATIONS:

  • Bachelor’s degree preferred
  • Previous experience at non-profit organizations preferred Highly organized with strong attention to detail; excellent editing and proofreading skills
  • Extensive experience with Microsoft Word, Excel, and PowerPoint
  • Experience with expense coding and reconciliation
  • Excellent oral and written communication skills
  • Enjoys solving problems and finding solutions
  • Excellent interpersonal skills with the ability to interact with volunteers and staff in a professional and diplomatic manner
  • Ability to manage multiple priorities simultaneously
