Position Summary  

CTE is seeking to hire an Executive Assistant to provide administrative support to the Executive Director of the organization. The candidate will also play a key supporting role within the Contracting, Legal, and Project Management Office (PMO) verticals of the organization. The ideal candidate should be able to seamlessly provide efficiencies with agendas, calendar utilization, internal communication, and cross-functional partnerships internally, while also providing support reviewing and documenting customer facing agreements, vendor agreements, and other complex contracts and agreements. Previous paralegal experience or experience working with government contracts is highly preferred. This role will also directly, and indirectly, support our Proposals team and our PMO, in ensuring our project pipeline is flowing correctly and is set up for success in the beginning stages of negotiations and throughout.

Position Responsibilities

  • Manage the Executive Director’s calendar, organizing and managing his deadlines, mitigating any scheduling conflicts, documenting engagements, and acting as his navigational compass
  • Administer the planning, preparation, and execution of internal and external meetings and events, including scheduling, sending reminders, printing agendas and materials, and taking meeting minutes
  • Arrange travel and accommodations for the Executive Director, CTE’s Board of Directors, and other key stakeholders
  • Maintain deadlines on deliverables and communicate on an ongoing basis with business partners and internal clients about contractual and pipeline related issues
  • Liaise with other departments to ensure contractual terms and conditions are acceptable and serve to minimize risk for internal objectives
  • Assist with the review, analysis, proofreading, and redlining of contracts and agreements
  • Assist with the maintenance of contract templates and internal usage procedures
  • Assist with customer facing relationship maintenance through the duration of projects, with a dedicated focus on clarity and accuracy during the beginning stages of project life cycle
  • Assist with reviewing existing laws and regulations to help ensure compliance and prepare documents for regulatory filings
  • Coordinates the renewal of annual insurance policies and arranges insurance certificates as per the requirements of each contract

Required Qualifications

  • Bachelor’s degree;
  • Paralegal certificate strongly preferred
  • 3-4 years of high-level administrative support experience required
  • 3-4 years of experience managing contracts or working in the legal field preferred
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Outgoing personality with top-notch organizational, time-management, and follow up skills
  • Proven ability to meet deadlines in a fast-paced environment
  • Proficient in Microsoft Office suite
  • CRM tools experience (preferably Salesforce) ERP implementation or support experience
  • Ability to communicate with key stakeholders with different training and skill sets to help them collaborate effectively
  • Ability to take input and provide guidance to/from multiple internal partners
  • Experience in non-profit, government, and/or consulting organization financial management, accounting, and contracting is a plus

Salary Range

  • $55,000 - $80,000
