Finance and Accounting Manager

Summary of Position: 

The Finance and Accounting Manager assists the Vice-President of Finance and Accounting with all foundation financial management activities. Responsibilities include direct supervision of finance and accounting associates, oversight of the grants and contracts management function, managing the payroll and accounts payable functions, and other duties as assigned. 

The position reports to the Vice-President of Finance and Accounting. 

Duties and Responsibilities 

Grants and Contracts Management 

• Oversee preparation of budget proposals 
• Assist with preparation and execution of grants and contracts 
• Ensure files for all grants and contracts are accurate and complete 
• Monitor expenditures and prepare requests for expense advances and/or reimbursements (as required) 
• Oversee preparation of federal reporting requirements (SF-424, SF-425 project performance reports 
• Serves as point of contact for applicable federal grants management platforms (ASAP, GrantSolutions, etc.) and non-federal partner platforms 

Payroll Administration

• Prepare bi-weekly payroll to ensure accurate and timely completion 
• Prepare and submit required monthly workers’ compensation reports and annual audits to ensure compliance 
• Review health insurances invoices to ensure accurate enrollment data and coordinate necessary adjustments as appropriate 
• Liaise with HR Director and program management staff as needed 

Financial Planning and Analysis

• Assists in the development and preparation of the annual budget 
• Prepare monthly and ad hoc budget and expense reports 
• Prepare special budget reports or cost analysis reports as requested 

Accounts Payable 

• Prepare monthly cash flow analysis 
• Provide oversight of vendor payment process to ensure compliance with organization policies 

Audits 

• Assist with audit preparation by ensuring files are accurate and up to date 
• Prepare and submit necessary documentation via the audit portal 
• Assist with preparation of the annual indirect cost rate proposal. 

Requirements: 

• At least five years of experience in the nonprofit and/or financial management sector.
• Experience in government (federal and state) grants accounting and contracts management preferred 
• Bachelor’s degree from an accredited college or university is preferred 
• *Understanding of general accounting principles and procedures, business and administrative practices, and non-profit financial management. 
• Staff management and supervisory experience. 
• Strong communication skills, both verbal and written. 
• Excellent computer skills, all software in Microsoft Office, including Word, advance Excel, and Outlook. 
• Ability to multi-task and manage workload. 
• Strong analytical, critical thinking, and problem-solving skills 
• Ability to work as a team member and work effectively with diverse people. 
• Proficiency in QuickBooks Online preferred.
