Reports To: Philanthropy & Gift Planning Operations Manager

POSITION SUMMARY

The Philanthropy and Gift Planning Operations Assistant is a key member of the Foundation’s Philanthropy and Gift Planning (PGP) Department. The PGP team is responsible for the generation of resources to support the work of the foundation by fundraising for endowment, annual support, planned giving, and the creation and replenishment of Donor Advised Funds. This position will support operational functions of the department designed to help successfully manage relationships with donors, grow contributed revenue, and ensure data integrity.

Key Responsibilities:

  • Ensure timely gift processing and acknowledgement receipting
  • Update donor and fund information in Salesforce in a timely and consistent manner
  • Build out requested mailing lists and other basic list pulls as needed
  • Generate regular reports, including reports for staff to track donor involvement and engagement such as daily and weekly gift reports
  • Assist in the production and distribution of donor fund statements
  • Support the process of opening and closing donor advised funds in Salesforce
  • Support the entry of new gift Opportunities in Salesforce
  • Maintain department’s electronic filing system, in partnership with other department assistants
  • Provide support for Donor Advised Fund grantmaking in SFF’s grantmaking system, Fluxx
  • Support the department in the use of tools such as Smartsheets for improved project management and cross-functional collaboration
  • Provide research support to the PGP team as requested
  • Perform all functions with a high degree of accuracy and confidentiality

QUALIFICATIONS, SKILLS, and COMPETENCIES

  • Minimum two years of professional experience in nonprofit databases and data entry
  • Strong project management, administrative, and organizational skills
  • Strong analytical skills
  • Exceptional attention to detail and follow through and proven ability to juggle multiple tasks, prioritize, and meet deadlines is required
  • Demonstrated ability to work appropriately with highly confidential information
  • Advanced computer skills in the Microsoft environment including Outlook, Word, Excel, PowerPoint
  • Familiarity and experience with Salesforce preferred, familiarity with a donor database required.
  • Must have the desire and ability to quickly learn new applications as they are introduced into the work environment and as appropriate

Compensation:  Commensurate with background and experience in addition to a very competitive benefits package.  

Remote Work Policy: The Foundation is adopting a long-term hybrid in-person and remote work policy. Employees must reside or plan to relocate to California if hired.
