Executive Publishing Assistant

Purpose
To provide administrative and editorial support to the Director of Beacon Press. The ideal candidate is someone who hopes to build or continue a career as an executive administrator in the publishing industry.

Principal Responsibilities

  1. Assists Director with administrative and editorial related tasks and duties.
  2. Manages confidential information with discretion.
  3. Assists with scheduling and communications.
  4. Performs tasks such as check requests, travel support, data management, preparation for presentations, meetings, publications, and events.
  5. Handles all details for biannual advisory board meetings.
  6. Completes routine editorial support work such as working on information forms, design and audio information forms, drafting descriptive copy, and conducting online research.
  7. Provides administrative support including processing author payments; assisting with permissions; mailing books; tracking deadlines; preparing manuscripts for production.
  8. Acts as liaison to other departments including publicity, marketing, production and design to meet in-house deadlines and keep books on schedule.
  9. Manages Director’s expense account.
  10. Assists Director’s public presence via social media.
  11. Participates in cultural change process at Beacon Press.
  12. Must be available to occasionally work a flexible schedule, including nights or weekends for Press-related events.
  13. Coordinates lunches, special events and gatherings.
  14. Ability to travel occasionally for book-related events or to represent the Director or the Press.
  15. Perform additional duties as requested by the Director.


Qualifications

Note that qualifications may be met as a result of professional experience, lived experience, volunteer work, and/or formal or informal training. Requirements include:

  • 4+ years’ experience in book publishing or as an administrative assistant.
  • The successful applicant will be a highly organized, multi-tasking, team player with excellent verbal, written and interpersonal communications skills.
  • Excellent attention to detail, and strong organizational and time-management skills are essential.
  • The ability to interact with a variety of individuals and audiences with a high degree of professionalism and possessing emotional intelligence and a non-anxious presence is valued.
  • Must be highly proficient in the Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). Having experience with the publishing title information system, Biblio, is a plus.
  • A positive attitude and collaborative spirit, along with a desire to work in a progressive organization committed to anti-racism and anti-oppression is needed.
  • Must possess a high degree of intercultural fluency to interact with a diverse staff team, authors, and Advisory Board.
  • College degree preferred.
