Job Details

The Database and Data Entry Specialist is responsible for the gift processing program, donor gift fulfillment and all donation acknowledgements. He or she will also proactively assist in managing constituent records, developing and improving procedures for efficient and timely revenue recognition, data input and commitment processes. Working with the Director of Data and Donor Information, he or she will generate and deliver segmented data lists for annual campaigns, online gift fulfillment operations and direct mail solicitations. Other tasks include recruiting, supervising, and directing volunteers with assigned projects.

The Database and Data Entry Specialist reports directly to the Director of Data and Donor Information.

Responsibilities

GIFT PROCESSING & FULFILMENT

  • Perform review and data entry of gifts and pledges applying policies and procedures to ensure that all pertinent donor information is accurately recorded in the Raiser’s Edge database.
  • Process daily online transactions, including credit card, recurring and adoption transactions by importing into Raiser’s Edge virtual terminal and reviewing ‘Green’ fulfillments for accuracy.
  • Perform regular reviews for both data integrity and record refresh.
  • Manage the donor acknowledgment process by generating, printing and mailing donor letters ensuring segment accuracy utilizing Raiser’s Edge and Microsoft Word. Managing volunteer processes as needed during heightened seasonal activities.
  • Generate targeted mailing lists for online communications, solicitations, invitations, direct mail, newsletter and other stewardship activation needs.
  • Responsible for contacting donors to update their credit card details on file, biographical information, and email address.

MISCELLANEOUS

  • Train volunteers on gift fulfillment, the batch filing process and applicable database activities.
  • Track inventory of fulfillment supplies including materials usage and project needs.
  • Coordinate archival of development batches with vendor.
  • Share direct contact donor relations duties of answering donor queries via telephone and email, taking donations and fulfilling other donor requests.
  • Manage Stamps.com account, postal materials/costs and inventory in reference to donor stewardship materials, fulfillment letters and general office shipping needs.
  • Attend and participate in regular team meetings, seminars and webinars.
  • Provide administrative support to the Director, Data & Donor Information, as needed.
  • Other duties may be assigned.

Qualifications and Characteristics

  • Bachelor’s degree and a minimum of three- 5 years’ work experience within a nonprofit organization.
  • Minimum 3 years’ experience managing gift entry processes within development constituent databases and related donor/data integration platforms. Raiser’s Edge/NXT experience preferred.
  • Proficiency in database operations, prospect and constituent management, gift acknowledgements, data imports and exports.
  • Must possess excellent analytical, organizational and communication skills.
  • Must be a good team player.
  • Must have knowledge of the fund-raising process and the concepts of donor relations.
  • Must have a strong customer service orientation.
  • Ability to understand requests for data and accurately translate requests into effective queries if necessary.
  • Must be able to organize and prioritize work, be proactive, take initiative, resolve problems, follow through, and simultaneously manage multiple priorities to ensure goals are met in a timely manner.
  • Expected to utilize MS Excel and other programs with high proficiency.
  • Strong ability to multi-task and coordinate several concurrent projects.
